Job Title: Virtual Assistant – Healthcare Staffing & Administration

Location: Remote

Compensation: $750 per month

Schedule:

Monday-Friday: 8:30 AM to 5:30 PM Central Standard Time (Dallas, Texas)
Saturday: 9:00 AM to 12:00 PM
Overview:
Metro Health Institute, Metro Health Staffing, and Metro Health Patient Service Center, are seeking a highly organized and detail-oriented Virtual Assistant to support our daily operations remotely. This role combines administrative excellence with a passion for efficient processes to enhance client and employee experiences. Ideal candidates are independent, reliable, and possess outstanding communication skills.

Responsibilities:

Communication:

Promptly and professionally respond to all email inquiries, providing information about our services or routing requests appropriately.
Answer incoming phone calls pertaining to phlebotomy classes and drug testing, offering clear guidance, and transferring calls as needed using RingCentral.
Actively manage social media accounts, responding to comments and messages in line with company guidelines.
Administration & Invoicing:

Accurately create and send out invoices to clients.
Track invoice statuses and follow up on outstanding payments.
Maintain meticulous organization of financial records.
Scheduling & Coordination:

Schedule drug testing appointments and phlebotomy classes.
Manage appointment calendars, ensuring efficient use of time and resources.
Staff Management:

Consent to and utilize Hubstaff, a performance and time-tracking platform, for accurate clock-in and clock-out procedures.
Assist in onboarding new employees on company procedures and technology.
Inventory Management:

Track and maintain inventory levels of supplies, ordering new stock as needed.
Essential Skills:

Proficiency in G Suite: Excellent working knowledge of Google Sheets, Docs, Calendar, and other core applications.
Exceptional Communication Skills: Clear and concise written communication, with a friendly and helpful phone manner.
Time Management & Organization: Proven ability to prioritize tasks, manage multiple deadlines, and maintain accurate records.
Tech Savvy: Comfortable navigating various software platforms, including RingCentral and Hubstaff.
Self-Starter: Ability to work independently with minimal supervision and proactively identify areas for improvement.
Reliability: Consistent adherence to the work schedule and a commitment to timely delivery of tasks.
Multitasking Under Pressure: Great communication skills and the ability to handle multiple tasks efficiently in a high-pressure environment.
Organization: Must be extremely organized to handle diverse responsibilities.
Must-Haves:

Must be on Google Meet for the entire duration of the shift 80% of the time.
Experience with Google Workspace is required.
Desired Qualifications:

Previous experience in a healthcare, administrative, or customer service setting.
Familiarity with medical terminology is a plus.
Personality Assessment required.
