Job Description:
As a Virtual Assistant (VA), you will play a crucial role in supporting our front desk staff under the supervision of the Front Desk Manager. Your primary responsibilities will involve working within our electronic medical records system and utilizing provider portals from various insurance companies to provide essential benefit details. Here’s what you’ll be doing:
???? Key Responsibilities:
Verify medical insurance benefits for patients promptly, using phone calls or insurance provider portals.
Upload benefit information into our electronic medical records system (EMR) and communicate completion to the front desk staff.
Fill out Insurance Benefit Forms (IBF) and fax them to the appropriate clinic.
Determine if patients require prior authorization (PA) for outpatient physical therapy services, obtain PA, and notify the front desk staff of the details.
Conduct chart audits in the EMR for new evaluations, reporting findings to the Front Desk Manager monthly.
Assist with running the Plan of Care List, contacting physicians to obtain signed POCs and updating the EMR accordingly.
Handle medical records requests to insurance companies and attorneys, documenting all interactions in the EMR.
Perform other duties as assigned by the Front Desk Manager.
Requirements:
Excellent command of the English language (verbal and written).
Availability to work in the United States (MST) time zone or similar hours.
Motivated team player dedicated to improving workflow accuracy and efficiency.
Professional demeanor and a positive, upbeat personality.
Strong problem-solving skills and a commitment to issue resolution.
Ability to work independently when necessary.
Adherence to strict timelines.
Some college education and/or a college degree.
Access to a fax/scanner/printer, personal computer, and phone.
Participation in monthly staff meetings and other all-staff events via Zoom.
Proficiency in Excel, WebPT, and Kareo for data gathering and reporting.
Reporting Structure:
The VA will report directly to the Front Desk Manager, working closely to ensure the smooth operation of our administrative processes.
