Job Description

We are seeking a skilled and experienced Virtual Assistant to manage the Customer Relationship Management (CRM) system for our real estate company. The ideal candidate will have previous experience using the PODIO platform, along with a strong background in real estate investing. As the CRM Manager, you will be responsible for maintaining and organizing our database of leads, communicating with sellers and real estate agents, and preparing real estate contracts.

**Responsibilities:**

1. **PODIO Management:** Utilize the PODIO platform to manage our CRM system efficiently. Maintain accurate records of leads, contacts, and interactions.

2. **Lead Management:** Organize and categorize leads within the CRM based on various criteria such as source, stage in the sales process, and level of interest.

3. **Communication:** Communicate effectively with sellers and real estate agents via phone, email, and text. Provide timely responses to inquiries and follow-ups to ensure a positive customer experience.

4. **Contract Preparation:** Prepare real estate contracts accurately and professionally. Ensure all necessary details are included and assist in sending contracts to sellers as required.

5. **Data Entry and Organization:** Perform data entry tasks to update and maintain the CRM database. Keep records organized and up-to-date to facilitate smooth operations.

6. **Documentation:** Maintain detailed records of all interactions and transactions within the CRM system. Document important details such as lead status changes, communications, and contract agreements.

7. **Collaboration:** Work closely with other team members, including real estate agents and administrative staff, to coordinate efforts and streamline processes.

**Requirements:**

1. **Experience:** Previous experience using the PODIO platform is mandatory. Candidates must also have a background in the real estate investing field.

2. **Communication Skills:** Excellent written and spoken English communication skills are essential. The ability to communicate professionally and effectively with sellers, real estate agents, and team members is crucial.

3. **Organizational Skills:** Strong organizational skills with the ability to manage multiple tasks simultaneously and prioritize work effectively.

4. **Attention to Detail:** Meticulous attention to detail is required, especially when preparing real estate contracts and updating CRM records.

5. **Tech-Savvy:** Comfortable using various digital tools and platforms for communication, document preparation, and CRM management.

6. **Reliability:** Demonstrated reliability and ability to meet deadlines consistently.

7. **Flexibility:** Adaptability to changing priorities and willingness to take on new tasks as needed.

**Preferred Qualifications:**

1. Experience in real estate contract preparation and negotiation.
2. Familiarity with other real estate software and tools.
3. Knowledge of real estate investing strategies and terminology.
