Position Overview: The Lead Virtual Assistant will be the cornerstone of our operational support, managing carrier relationships, overseeing dispatching excellence, and leading a team dedicated to maintaining seamless logistical operations. This role is ideal for a candidate with a strong background in the transportation industry, exceptional problem-solving skills, and a proven track record in strategic lead generation and customer service.

Core Responsibilities:

Carrier Coordination: Lead efforts in establishing and nurturing relationships with carriers, negotiating favorable rates, and ensuring strict adherence to contractual agreements.
Documentation and Reporting: Oversee the management of essential paperwork, generation of comprehensive reports, and maintenance of precise records to ensure operational fluency and compliance with all regulatory standards.
Problem Solving: Employ advanced analytical and problem-solving skills to navigate unforeseen challenges, swiftly resolve conflicts, and effectively mitigate risks.
Dispatching Excellence: Spearhead dispatching initiatives, focusing on route optimization, efficient driver onboarding, and seamless carrier integration.
Customer Service Leadership: Champion a customer-centric approach, emphasizing client satisfaction and retention as critical components of business success.
Lead Generation: Utilize strategic cold calling and lead generation tactics to uncover and capitalize on new business opportunities.
SOP Management: Craft, review, and update Standard Operating Procedures (SOPs) to ensure operational efficiency and uniformity across all processes.
Team Leadership: Provide exemplary leadership and management to the dispatch and virtual assistant teams, promoting a culture of collaboration and peak performance.
Administrative Oversight: Handle a broad spectrum of administrative duties, including but not limited to, high-level administrative tasks and managing various functions across the team.
Data-Driven Insights: Offer precise reporting and data analysis to inform strategic decision-making and foster a culture of continuous improvement.
Qualifications:

Extensive experience in logistics, transportation, or a related field, with a strong emphasis on carrier coordination and dispatch operations.
Proven leadership skills with the ability to manage and motivate a team of virtual assistants.
Excellent negotiation, problem-solving, and conflict resolution skills.
High proficiency in documentation, reporting, and SOP management.
Demonstrated success in lead generation, customer service, and administrative excellence.
Ability to analyze data and provide insights for strategic planning.
