Job Description

We are seeking a highly organised and detail-oriented individual to join our esteemed legal team as an Administrative Assistant. The ideal candidate will play a crucial role in supporting our legal professionals and ensuring the smooth and efficient operation of the legal department.

Responsibilities:

Administrative Support:
– Provide administrative assistance to legal professionals, including managing schedules, coordinating meetings, and handling correspondence.
– Prepare and proofread legal documents, correspondence, and reports.
– Maintain and organise electronic and physical filing systems.

Communication and Coordination:
– Act as a liaison between legal team members and external parties, including clients, opposing counsel, and court personnel.
– Manage incoming calls, emails, and inquiries, directing them to the appropriate team members.

Document Management:
– Assist in drafting, editing, and formatting legal documents, contracts, and agreements.
– Coordinate document production and distribution, ensuring accuracy and confidentiality.

Calendar and Deadline Management:
– Maintain and update legal professionals’ calendars, ensuring deadlines and court appearances are accurately tracked.
– Assist in monitoring and managing court deadlines and filing requirements.

Legal Research:
– Conduct preliminary legal research under the guidance of legal professionals.
– Compile and organise relevant legal resources and information.

Billing and Expense Management:
– Assist in tracking and managing legal expenses and billing activities.
– Prepare and process invoices, ensuring compliance with billing guidelines.

Ideally you will have experience in:
– Proven experience as an administrative assistant or in a similar role, preferably within a legal setting.
– Proficiency in Google Suite, Slack, Aircall and CRM tools.
– Exceptional organisational skills and attention to detail.
– Excellent written and verbal communication skills – Including the ability to communicate with customers over the phone.
– Ability to handle sensitive and confidential information with discretion.
– Familiarity with legal terminology and processes is a plus.
