Job Brief
We are currently seeking a diligent and detail-oriented Legal Assistant to join our team. The Legal Assistant (LA) plays a pivotal role in ensuring the efficient operation of legal matters within the company. This role encompasses a variety of responsibilities, from managing engagement and cost agreements to processing incoming documents, discovery, and general administrative support. This role requires an individual with a keen eye for detail, exceptional organizational skills, and the ability to manage complex legal documentation efficiently. Current budget for this role is at a maximum Php 45,000.00 gross monthly.

Requirements
Previous experience in a legal assistant role or related field is preferred.
Proficiency in document management software, NetDocs, and ActionStep is advantageous.
Strong attention to detail and organization skills.
Excellent written and verbal communication abilities.
Ability to prioritize tasks and manage time effectively.
Proactive approach to tasks and problem-solving.
Commitment to maintaining accurate records and complying with claim procedures.

Responsibilities
Review “Matters Where ECA Meeting Needs to be Completed” report to prioritize the oldest cases.
Identify claims, liability status, and quantum of claim/s from initial advice.
Prepare internal covering email and Engagement and Cost Agreement (ECA) for clients.
Schedule ECA meetings in calendars.
Attach necessary documents, including client authority, Form 100, and 1st letter of advice.
Obtain Principal’s approval and convert ECAs to PDF.
Send ECAs to clients, copying internal stakeholders.
Organize and save ECAs in NetDocs.
Update ActionStep’s Engagement and Cost Agreements tab.
Review and process documents from insurers, doctors, and defendant lawyers.
Categorize and save documents in NetDocs.
Provide Fee Earners with updated document lists.
Prepare PDF copies of discovered documents.
Draft covering emails for defendant lawyers.
Share emails and documents with Fee Earners for review.
Send finalized emails to defendant lawyers, copying in stakeholders.
Archive drafts and sent emails in ActionStep.
Draft Lists of Documents per Fee Earner’s instructions.
Include medical reports, financial documents, and correspondence.
Share drafts with Fee Earners for review and settling.
Send finalized Lists of Documents to defendant lawyers, copying in stakeholders.
Save drafts, finalized lists, and sent emails in NetDocs.
File necessary documents on the e-Court portal as instructed by Fee Earners.
Prepare legal documents like Bills of Costs, Entries for Trial, Minutes of Consent Orders, and Briefs to Counsel upon request.
Coordinate medical and client appointments based on Fee Earner’s guidance.
Keep clients informed about appointments and manage calendars.
Maintain up-to-date calendars with court dates, deadlines, and appointments.
Efficiently manage electronic client files while adhering to data management procedures.
Conduct file audits to ensure claim procedures and workflows are followed.
Undertake various administrative tasks as requested by Fee Earners and Team Leaders.
Archive all outgoing correspondence on the same day it is sent.
