Job Brief

We are seeking a highly organised and efficient Legal Assistant to provide administrative support to our team. The successful candidate will be responsible for managing the calendar and email of the director, researching and implementing software and business tools, onboarding and offboarding of clients, client follow-ups, file management, and ensuring processes are followed. The ideal candidate should have excellent communication skills, be proficient in using digital tools and software, and have experience in project management.

Requirements 
Previous experience in a legal assistant role from an AU law firm.
Confident in email and schedule management
Excellent organizational and time management skills, with the ability to multitask and prioritise effectively.
Strong communication skills, both written and verbal, with the ability to interact professionally at all levels.
Proficiency in using virtual communication and collaboration tools (e.g., video conferencing, project management software, cloud storage).
Exceptional attention to detail and accuracy in all tasks.
Ability to work independently with minimal supervision and demonstrate a proactive approach.
Discretion and confidentiality in handling sensitive information.
Flexibility to adapt to changing priorities and work in a fast-paced environment.
Availability and responsiveness during agreed-upon working hours.
C1-C2 (superior to distinguished) level of written and spoken English

Responsibilities
Manage and maintain the executive’s calendar, scheduling meetings, appointments, and travel arrangements.
Coordinate and prioritise incoming requests, emails, and phone calls, ensuring timely responses and appropriate action.
Prepare and edit correspondence, itineraries, reports, presentations, and other documents as required.
Conduct research, gather data, and prepare briefing materials for meetings and projects.
Assist in organising and coordinating internal and external meetings, including logistics, agendas, and follow-up actions.
Track and manage important deadlines, deliverables, and commitments to ensure timely completion.
Collaborate with other team members and departments to facilitate efficient communication and information flow.
Handle confidential and sensitive information with the utmost discretion and professionalism.
Help manage and maintain electronic and physical files, documents, and records.
Perform general administrative tasks, including expense tracking, invoice processing, and maintaining office supplies.

Time Zone: Australian Business Hours
