Legal administrative assistants perform secretarial and administrative duties in law offices or offices that work with legal documents (e.g. real estate companies, land title offices, and the court system). These agents handle tasks such as formatting legal correspondence, and/or reviewing and proofreading outgoing documents.
DUTIES & RESPONSIBILITIES:
– Provides Administrative support to ensure efficient office operations.
– Answers phone calls schedules meetings and supports visitors virtually.
– Drafting (pleadings – not final documents; discovery requests and responses; retainer agreements – filled in from a template; – leaves of absence; conflict letters; case update letters; jail letters; etc.)
– Client communications – providing basic updates; scheduling appointments and calls; verifying client is aware of hearings/mediations; gathering client questions/concerns
– Calendar management
– Time entries
– Lead initial contact and consult scheduling
– Routine intake tasks – adding new cases to MyCase; ensuring intake forms are completed; adding dates and deadlines to the calendar; requesting routine documents from clients;
– Assisting with invoicing and billing – no access to bank accounts and no processing of payments; assisting with past due accounts
– Weekly case list meetings
– Willing to do tasks that involve phone calls
– Other general administrative/clerical tasks as needed

QUALIFICATIONS:
– Must have at least 2 years of work experience as a Legal Assistant. Fresh Law graduates are welcome to apply!
– With experience sending emails, managing calendars, data entry, filing, and other administrative tasks
– Must be willing to do minimal phone calling.
– Proficient with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
– Ability to work with databases and online technological platforms
– Ability to learn easily and adapt to changes
– Ability to be detail-oriented, diligent, and flexible
– Ability to handle conflicting time demands and focus on task completion with little direction or need for supervisory follow-up
– Proficient command of the English language in both oral and written format
– Ability to work and maintain patience with diversified individuals of various backgrounds and professional competencies
– Committed to maintaining integrity and confidentiality on behalf of the company, the firm, and its clients
– Willing to work on Pacific Standard Time (8:00 AM – 5:00 PM California Time)
– Own a Laptop or Desktop (8GB RAM, core 5 above) with an internet connection of at least 10mbps
