Legal Executive Assistant Job Description
Job Summary:
We are looking for a dynamic and capable Legal Executive Assistant to provide high-level administrative support to our legal department’s executives. This pivotal role requires exceptional organizational skills, a keen attention to detail, and a solid background in the legal industry. The ideal candidate must hold a paralegal or lawyer qualification and be adept at managing a variety of tasks to ensure the efficient functioning of our legal team.
Key Responsibilities:
1. Administrative Support: Provide comprehensive administrative assistance to managing partner and provide support to the legal team.
2. Document Management: Assist in drafting, proofreading, and editing legal documents, contracts, correspondence, and other materials as required.
3. Legal Research: Conduct legal research using online resources, databases, and legal references to support legal executives in case preparation and decision-making.
4. Client Interaction: Communicate professionally and promptly with clients, attorneys, and other parties, conveying information and addressing inquiries.
5. Coordination: Collaborate with internal and external stakeholders to ensure seamless coordination of legal activities, meetings, and projects.
6. File Management: Organize and maintain both physical and electronic files, ensuring accuracy, accessibility, and adherence to retention policies.
7. Confidentiality: Handle sensitive and confidential information with utmost discretion, maintaining the highest ethical standards.
8. Calendar Management: Assist in the planning and execution of meetings, events, seminars, workshops, and conferences.
9. Meeting Preparation: Prepare materials, agendas, and presentations for meetings, ensuring all necessary resources are available.
and Invoicing: Assist with tracking billable hours, , and liaising with the legal team and finance team to ensure accurate billing.
Qualifications:
– Paralegal or lawyer qualification is required.
– Proven experience as an executive assistant, legal assistant, or paralegal within a legal environment.
– Proficiency in legal research, and document management systems.
– Strong organizational and multitasking abilities, with attention to detail and accuracy.
– Excellent written and verbal communication skills, including the ability to interact professionally with clients and legal professionals.
– Discretion and integrity when handling sensitive and confidential information.
– Familiarity with legal terminology, processes, and regulations.
– Adaptability and the capacity to work both independently and collaboratively.
– Strong time-management skills and the ability to prioritize tasks effectively.
-Capable of working Full Time during 8:00AM-5:00PM Eastern Time
