Job Summary:

We are seeking a versatile and proactive individual to join our team as an Executive / Legal / Marketing Assistant. This role will play a pivotal role in supporting our operations, spanning executive assistance, legal support, and marketing initiatives. The successful candidate will collaborate closely with our team to ensure the smooth functioning of our operations and contribute to our ongoing growth and success.

Key Responsibilities:

Provide support in conveyancing processes, including contract reviews, negotiations, and post-exchange to settlement work.
Assist with commercial and business law matters such as buying and selling businesses, shareholder agreements, and employment agreements.
Handle employment law issues and disputes, ensuring compliance with relevant regulations.
Support in matters related to wills, estates, and probate.
Manage debt recovery processes efficiently.
Assist with the preparation of legal documents and research tasks.
Coordinate networking efforts and research suitable groups for participation.
Aid in lodging Costs Assessment claims against clients who refuse to pay.
Prepare call scripts for new employees and arrange group Zoom/Teams call backgrounds.
Assist in financial tasks such as preparing quarterly BAS, monthly IAS, and Profit & Loss statements.
Conduct research on fee structures of other law firms to ensure competitiveness.
Perform monthly financial audits and expense checks using Xero.
Identify and register for appropriate CPD courses for professional development.
Manage client care initiatives post-matter completion, including sending cards and presents.
Enhance online presence through updates to LinkedIn, website, and Google My Business profile.
Assist with drafting blogs and engaging with online audiences.
Explore opportunities for expanding into new areas of law and setting up trusts or different entity structures.
Increase online visibility through directory listings and optimize processes through software automation.
Handle general administrative tasks as needed.

Requirements:

Bachelor’s degree in Business Administration, Legal Studies, Marketing, or related field.
Previous experience in a similar role within the legal industry is preferred.
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Proficiency in relevant software applications such as Xero, Microsoft Office Suite, and legal research databases.
Ability to work independently and collaboratively in a remote environment.
Proactive attitude with a willingness to learn and adapt to new challenges.
