Job Brief
We are seeking a skilled and experienced Legal Receptionist to join our team. For this role, you will play a dual role, providing front desk receptionist duties while also offering administrative support to the legal team. This position requires a dynamic individual who can efficiently manage the reception area, handle incoming calls, and greet clients with professionalism, while also assisting with legal administrative tasks as needed. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced legal environment.

Requirements
Prior experience as a receptionist or administrative assistant, preferably in a legal or professional services environment.
Strong interpersonal and customer service skills, with the ability to interact professionally with clients, attorneys, and staff members.
Proficiency in Microsoft Office suite (Word, Excel, Outlook) and experience with office equipment such as multi-line phone systems, printers, and scanners.
Familiarity with legal terminology, procedures, and document formats is desirable but not required.
Organizational skills and attention to detail to manage multiple tasks, prioritise assignments, and meet deadlines in a fast-paced environment.
Discretion and confidentiality in handling sensitive information and client matters.
Flexibility to adapt to changing priorities and work schedules as needed.
Positive attitude, professional demeanor, and a team-oriented approach to work.

Responsibilities
Appointment Scheduling and Calendar Management:
Coordinate and schedule appointments, meetings, and conference room bookings for attorneys and clients using scheduling software or calendars.
Assist attorneys with managing their calendars, scheduling court dates, deadlines, and other important events.

Client Assistance:
Assist clients with inquiries, document pickups, and completion of intake forms. Provide basic information about the firm’s services, practice areas, and procedures.
Direct clients to the appropriate legal staff for consultations or further assistance.

Administrative Support:
Provide administrative assistance to legal staff, including photocopying, scanning, filing, and document preparation.
Assist with preparation of legal documents, correspondence, and court filings under the supervision of attorneys.
Maintain client contact databases, update case details, and ensure data accuracy and confidentiality.

Legal Research and Document Management:
Conduct legal research using online databases or resources to support attorneys in case preparation and document drafting.
Organise and maintain legal files, documents, and records, ensuring they are properly labeled, indexed, and stored securely.

Email and Correspondence Handling:
Manage incoming and outgoing emails, draft responses, and distribute correspondence on behalf of attorneys.
Monitor and prioritise email communications, ensuring timely responses and follow-up actions as necessary.
