Job Overview:
We are seeking a skilled Legal Virtual Assistant (VA) with a strong background in US law, particularly in personal injury cases, to provide comprehensive support to our legal team. The ideal candidate will possess excellent customer service and communication skills, adept phone support capabilities, and proficiency in organizing and managing legal documentation. As a Legal VA, you will play a crucial role in client communication, case management, and administrative tasks to ensure the smooth operation of our legal practice.

Responsibilities:

1) Customer Service and Client Communication

– Provide exceptional customer service by responding to client inquiries via phone, email, and other communication channels promptly.
– Assist clients in scheduling appointments, gathering necessary documentation, and providing updates on case progress.
– Maintain a professional and empathetic demeanor while addressing client concerns and inquiries.

2) Case Management:

– Assist attorneys in managing personal injury cases from intake to resolution.
– Organize and maintain client files, ensuring all documentation is accurate, up-to-date, and easily accessible.
– Coordinate with attorneys and clients to gather necessary information and documentation for legal proceedings.
– Prepare legal documents, including pleadings, motions, and correspondence, under attorney supervision.

3) Administrative Support:

– Schedule meetings, appointments, and court appearances for attorneys.
– Manage attorney calendars and reminders for important deadlines and court dates.
– Handle general administrative tasks such as filing, scanning, and copying legal documents.
– Assist in preparing and maintaining expense reports and billing records.

4) Follow-Up and Client Relations:

– Maintain regular communication with clients to provide updates on case progress and answer any questions or concerns.
– Follow up with clients on outstanding documentation or information needed for their cases.
– Ensure timely responses to client inquiries and requests to uphold a high standard of client service.

5) Expertise in Spreadsheets/Excel:

– Utilize advanced spreadsheet and Excel skills to create, update, and manage case-related databases, including tracking expenses, settlements, and case milestones.
– Generate reports and analyses as needed to support attorneys in case evaluation and strategy.

Qualifications:

– At least 2 years of experience working in US law, with a preference for candidates with experience in personal injury law.
– Excellent customer service and communication skills, with the ability to interact professionally with clients and colleagues.
– Proficiency in phone support, with a courteous and patient demeanor.
– Highly organized with strong attention to detail and the ability to manage multiple tasks efficiently.
– Persistence in following up with clients to ensure timely completion of tasks and resolution of issues.
– Expertise in spreadsheets and Excel, with the ability to create, maintain, and analyze complex datasets.
– Familiarity with legal terminology, procedures, and documentation.
– Ability to work independently and collaboratively within a remote team environment.
