Property & Lettings Assistant Job Spec
Sowena Lettings is a small, Lettings & Property Management business based in Cornwall, England. Since its inception in 2008 (formerly Grigg Property Management) it has developed a core of single let properties and more recently diversified into HMO, Freehold and Serviced Accommodation Management.

We are currently a 100% virtual team of six, based in the UK and are super excited to expand the team with additional members from the Philippines.
Sowena Lettings is the sister company of Sowena Property which was incorporated in 2018 by Directors Virginia Lean and Jeremy Grigg, initially to help Investors find quality investment properties in the North of England. Since 2018 Sowena Property has developed a portfolio of HMO’s and single let properties in Grimsby and Cleethorpes.
Ginny and Jer, both teachers in a previous life, have over 35 years of property experience and have helped build a successful HMO Management Company in North East Lincs. Since the sale of this business, early in 2023, Ginny & Jer have returned to Cornwall, their home, with a laser focus on building Sowena Lettings.
The Sowena brand, (Prosperity & Wealth in Cornish) was originally born out of desire to provide 5-star quality service for all our tenants, guests & landlords within a very inconsistent market! We are a close, efficient, ambitious and values driven team. Both Ginny and Jer truly understand the importance and value of great people and their ethos is to welcome new team members into an environment where we can build, grow & flourish together.
We have a big vision to expand our existing lettings business over 10 times its current size over the next five years, while building Sowena Properties portfolio to over 50 units in Cornwall & North East Lincs. We are looking for a new team member who is excited by this vision and wants to grow with us over the years ahead.
Overview of the role
This is an exciting, varied & dynamic role for the right candidate. We are a small yet ambitious team, that is driving to lead the way in the property industry in everything we do.
The job role is to provide invaluable support to our lettings/property management team in the day to day running and growing of the business. You do not need to have specific experience in property to apply but you must be a quick learner, tenacious and always do what you say you’ll do.
Your duties will include but will not be limited to the following:
• Advertising our vacant properties online, responding to enquiries online (and sometimes over VOIP) & booking in viewings – providing our potential tenants with a brilliant and responsive service from their very first interaction with us

• Liaising with external contractors to ensure properties can be advertised in a to a high standard and compliant way (e.g. photographer, inventories)

• Day-to-day CRM System Management on Arthur – ensuring it is always up-to-date with the latest documentation and information Managing all aspects of referencing & compliance related to property lettings in the UK – pushing through the process in a timely manner so that our properties do not sit empty

• Property Maintenance

• General administrative duties to support the work of the Directors including diary management, taking minutes of meetings, responding to emails.

Role Requirements
Ability to work predominantly UK hours 4-hours per day Monday-Friday.
Occasional Saturday work will be required
Must have an excellent quality internet connection that can accommodate calls on Zoom/Teams and ensure quality on VOIP as required Work Experience
Work experience

Property industry experience preferable but not essential

2 years plus administrative experience essential

Language skills: Fluent in English both written and spoken

Able to communicate effectively

PC skills/System knowledge: Microsoft 365 (Teams, Outlook, Microsoft office suite)
Experience of Asana & Arthur preferable but not essential
