Listing and Transaction Coordinator/Admin:
Handle all listing transactions from listing signed to out of attorney review and complete any administrative tasks.
Commence attorney review for all transactions necessary.
Provide exceptional customer service throughout the entire transaction process to not only our clients, but also to all parties involved.
Demonstrate on a daily basis the knowledge, attitudes, skills, and habits of high achievers who are committed to putting clients first, doing the right thing, and seeking win-win agreements.
Must be adaptable to change and be solutions oriented.
Strong sense of urgency, but not at the expense of quality.
Manage the entire contract from listing to close efficiently and effectively to ensure all transactions close on time, with little or no hassle to clients and third parties.
Must provide a can-do attitude and will demonstrate initiative and problem solving.
Accountable to the director of operations on a daily basis.
Manage activity of all transactions
? Coordinating all listing activities
? Follow the procedures in Sisu – all tasks are marked at completed by end of day/eod/on time
Commence attorney review for all transactions necessary.
Act as liaison between and coordinate with real estate agents, clients, attorneys, appraisers, inspectors and mortgage brokers through the transaction process.
? Must be able to download RingCentral to call and text clients/attorneys/agents ? Ensure all listing paperwork is complete by listing date
Input all listings into various NJ MLS’s
Understand the contracts in order to summarize all important terms, conditions, and contingency dates
? Demonstrate proficiency in all doc
? Offers
? Purchase price, closing date, included, excluded, type of loan, contractual provisions
Follow a time blocked schedule
Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem solving, and adjusting plans.
Prepare and run the weekly Admin Level 10 meetings
Complete all listing checklists SISU
Some data entry – 1 day/week
Attend SR Weekly Trainings – add to your calendar
Send out Calendar Invites with Zoom links as requests.
Complete general admin tasks within a 20 minute time frame.
Meet with DOO each morning to review transactions and provide feedback and updates
Experience and Proficiency:
Experience entering in at least 40 listings for a previous Real Estate group
Experienced in and knowledgeable of familiarity with Slack, Follow Up Boss, Dotloop,
Showingtime, Adobe Acrobat and a MLS
Mandatory
-EXCELLENT English verbal and written communication skills
-HIGH attention to detail
-Able to download RingCentral to call/text clients/agents/attorneys
-Proficient is Google Docs/Sheets/Slides/Forms.
-Willing and able to answer our office phone and call attorneys and clients.
-Proficient in sending out calendar invites with Zoom link.
-At least one year of real estate experience with inputting listings for a real estate agent/team
