Our client is looking to bring on another team member for 2023! They are in need of a Full-time Listing Coordinator/Transaction Coordinator. The right candidate will be very detail-oriented and have a sense of urgency, but not at the expense of quality. Additionally, they must be learning-based, adaptable to changes, and solutions-oriented. They will manage the entire listing and or marketing process efficiently and effectively to ensure timely work, with little to no hassle to agents and third parties.

Responsibilities:
• Act as liaison between the real estate agents, their clients, and vendors during the listing process and effectively manage the administrative tasks involved in listing a property and effectively manage the administrative tasks involved in closing a sale.
• Learn broker-specific requirements to make sure files are compliant.
• Understand the listing process in order to ensure timelines are met.
• Communicate regularly with the client to send them reminders, check in, and let them know where you are in the listing/marketing process.
• Depending on the package, draft any disclosures or other documents as requested along the way and keep a record of them on file and ensure they are shared with relevant parties.
• Complete the listing package purchased by the agent, which could include lockbox setup, and Showing Time setup.
• Maintain regular contact with your client base to ensure they are happy with the service provided.
• Create and/or maintain accurate and compliant electronic files for all transactions including document drafting as needed.
• Communicate with the agent and their client throughout the transaction. Let them know what to expect in each step of the closing process including all important dates, missing documents, calendar reminders, file compliance status, etc.
• Close out the file after the closing including changing the MLS status to closed for our listings, double-checking the file, and making an electronic copy of the settlement statement. Add closing documents to the electronic file.

Requirements
• Experience as a listing coordinator/transaction coordinator
• The minimum standard is to be able to complete 10-20 listings per month with room for more as they grow

Requirements
Just like any job, you need to have the right tools to perform well. That being said, we need you to meet the following requirements to ensure success in this role:

• 1 main computer with at least core i5 processor

• A backup computer with at least core i3 processor

• Internet service provider with at least 10 mbps speed with no capping / data limit

• At least 5 mbps backup internet service

• An internet hub/cafe nearby that operates during your working hours

Other requirements:

– PhilHealth ID Number

– NBI Clearance
