Role: Logistics & Bookkeeping Administrator
Contract: Full-time Remote Contractor (160 hours monthly)
Business Hours: Flexible between 6 AM – 6 PM PST Monday-Friday
Rate: Starts at $1,250-$1,500 monthly / $15,000-$18,000 annually (Salary is negotiable based on experience)

What you’ll do
In the role of Logistics & Bookkeeping Administrator, you will assume a pivotal position in safeguarding the financial well-being of the company while overseeing the seamless execution of logistical operations. Your responsibilities will encompass meticulous bookkeeping, financial analysis, and managing of 3PL fulfillment processes, collectively contributing to seamless logistics & bookkeeping processes . Your responsibilities will include but not be limited to the following:
Bookkeeping:
– Maintain accurate financial records using the accounting software QuickBooks.
– Record and categorize financial transactions, including income, expenses, invoices, and receipts.
– Manage bank accounts, monitor balances, perform reconciliations, and execute transfers as needed.
– Process supplier invoices, verify accuracy, and ensure timely payments.
– Record customer payments, update Accounts Receivable (AR) records, and manage vendor relationships.
– Prepare financial statements (income, cash flow, and balance statements).
– Track business expenses and assist in expense report creation.
– Aid in budget creation, monitor variances and provide insights for forecasting.
– Remote Team Payroll, as needed.
– Provide insights into company finances to support financial decision-making through comprehensive data analysis and reporting.
Logistics:
– Oversee the 3PL fulfillment process to ensure timely and accurate fulfillment.
– Implement and optimize fulfillment processes to improve efficiency and reduce errors.
– Monitor key performance indicators (KPIs) related to order processing, accuracy, and shipping costs.
– Manage inventory levels, implement tracking systems, conduct audits, and reconcile discrepancies.
– Collaborate with 3PL partners for smooth operations and SLA adherence.
– Address issues or concerns with 3PL partners, focusing on improvement.
– Implement and manage warehouse management systems (WMS) or relevant inventory and order processing technology.
– Analyze inventory turnover, order volume, and relevant metrics for informed decision-making.
– Generate reports and provide insights to management on warehouse performance and areas for improvement.
What you should have
– Proven experience of at least three years in bookkeeping & financial analysis,
– Proven experience of at least three years in Logistics Management.
– Solid understanding of QuickBooks Online and Desktop.
– Expertise in inventory management systems.
– Knowledge of 3PL processes and logistics technology is a big plus.
– Strong analytical and problem-solving skills.
– Excellent attention to detail and organizational abilities.
– Excellent communication skills for collaboration with cross-functional teams.
– Proficient in Microsoft Excel and other relevant office software.
