Job Description

Sherwood Digital is seeking a skilled Executive Assistant and Project Manager with Customer Support experience to work with our client, Pediatrics Board Review (PBR). As the Executive Assistant to the CEO of PBR, you will be responsible for providing high-level administrative support to the CEO and managing internal processes, while also handling customer queries and complaints. Your role will involve managing projects, coordinating schedules, providing executive-level assistance, and ensuring smooth customer support operations.

PBR is a company that was started to help pediatricians pass their medical board exams. We have hardcopy books, online resources, and a live course that we sell to pediatricians all year long.

Our ideal candidate will act as a liaison, provide product/service information, answer questions, and resolve any emerging problems that our customer accounts might face with accuracy and efficiency.

Responsibilities:

? Provide comprehensive administrative support to the CEO of PBR, including calendar/schedule management, email management, travel arrangements, and other ad-hoc tasks.
? Make calls on my behalf and schedule personal and/or business meetings
? Coordinate meetings based on my availability and place meetings on my calendar
? Research and conduct data collection to prepare documents for review and presentation
? Respond promptly to customer queries and complaints through various communication channels, such as email, text, and phone, and provide timely and helpful solutions.
? Process orders, forms, applications, and requests accurately and efficiently, and maintain records of customer interactions, transactions, comments, and complaints.
? Communicate with customers in a professional and empathetic manner, ensuring effective and timely communication.
? Manage and coordinate projects, ensuring that all projects are delivered on time, within scope, and within budget.
? Measure project performance using appropriate systems, tools, and techniques, and report and escalate project-related issues to management as needed.
? Provide executive-level assistance to the PBR team, including SOP updates, tracking member feedback, coordinating schedules between webinar speakers and contractors, and emailing high-risk members with custom offers.
? Maintain a positive and professional attitude toward customers and team members at all times.

Qualifications:

? Proven experience as an Executive Assistant, with the ability to manage and prioritize tasks for a high-level executive.
? Strong background in Customer Service, with excellent communication skills and experience in handling customer queries and complaints.
? Previous experience in Project Management, with a track record of successfully managing projects on time and within budget.
? Strong writing skills for effective communication with customers and team members.
? Tech-savvy with experience in using tools such as Infusionsoft, Asana, Zendesk, WordPress, and Wishlist Member.
? A strong internet connection with a working webcam for daily meetings
? Availability to work 30-40 hours per week in the EST time zone.
? Ability to work 5-7 days per week, with flexibility in scheduling.
? Ability to clear morning tickets by 11 AM EST on weekdays and provide single check-ins for high-priority tickets on weekends.
