Job Description

TASKS INCLUDED BUT NOT LIMITED TO:

1. Calendar Management:
Schedule meetings, appointments, and personal commitments for the two owners.
Coordinate travel arrangements, including flights, accommodations, and transportation.
2. Communication Management:
Manage email correspondence, filtering and prioritizing messages as necessary.
Screen and manage phone calls, taking detailed messages or redirecting as appropriate.
3. Administrative Support:
Prepare and proofread documents, presentations, and reports as needed.
Maintain filing systems, both digital and physical, ensuring easy retrieval of documents.
4. Task Coordination:
Coordinate tasks and projects across various departments within the company.
Follow up on action items and deadlines, ensuring timely completion.
5. Problem Solving:
Proactively identify potential issues and offer solutions to resolve them efficiently.
Handle unforeseen challenges with creativity and resourcefulness.
6. Business Process Management:
Proficiently utilize business tools such as spreadsheets, Google Suite, and project management software.
Streamline workflows and optimize processes to enhance productivity.
7. Research and Analysis:
Research various topics, gathering relevant information for decision-making.
Analyze data and present findings clearly and concisely.
9. Time Management:
Prioritize tasks and manage the daily schedule to maximize efficiency.
Anticipate and mitigate potential scheduling conflicts or time constraints.
10. Availability and Accessibility:
Be available during business hours from 8 am Hawaii time, five days a week, to address urgent matters.
Maintain open communication channels for quick access in case of emergencies.
Able to travel and stay for days with the bosses (STRICTLY FOR BUSINESS PURPOSES). Mostly in Siargao or Palawan. The 2 bosses love to travel in the Philippines and meet the team from Manila and Davao. The personal VA needs to be with them whenever they are in the Philippines.
11. Relationship Management:
Build and maintain positive relationships with stakeholders, clients, and vendors.
Serve as a liaison between the owners and external parties, representing their interests professionally.
