Job Description

We are seeking an exceptional Executive Assistant who thrives in a goal-oriented environment. As the Executive Assistant, you will take charge of implementing and managing multiple systems, demonstrating impeccable attention to detail, quality, and consistent communication. This role requires unwavering focus, allowing you to stay composed amidst urgent matters and distractions. Your commitment to delivering outstanding customer service, both to our clients and colleagues, is of paramount importance. Operating in a fast-paced setting, you will support the team in managing the client experience and tackling various challenges with innovative solutions. Additionally, you will oversee the CEO’s schedule and tasks, requiring effective prioritization and contributing to the company’s growth.

Key Responsibilities:
·Provide high-level support to the CEO and company operations.
·Develop, manage, and implement project plans, timelines, and budgets.
·Create and maintain an operation manual, documenting all systems and standards.
·Ensure compliance by updating software and apps as needed.
·Answer phone calls and direct inquiries accordingly
·Conduct outbound calls and other tasks to drive business growth and achieve set KPIs and goals.
·Display flexibility and willingness to temporarily take on other positions or assist the team.
·Perform general administrative duties efficiently.
·Conduct research on various topics and prepare reports and presentations.
·Manage the CEO’s calendar as required.

Communications/Interactions:
·Daily interactions with the CEO
·Collaborate with staff as needed.
·Engage with buyers, sellers, vendors, customers, and clients as necessary.

Knowledge/Skills:
·Preferred knowledge of the real estate industry
·Exceptional organizational, planning, time management, and project management skills
·Ability to work independently with minimal supervision.
·Strong commitment to executing tasks accurately.
·Demonstrated composure under pressure.
·Emphasis on continuous learning and growth
·Service-oriented attitude
·Proven track record of success
·Strong problem-solving and decision-making abilities
·Detail-oriented with the ability to excel in a fast-paced environment.
·Excellent communication and interpersonal skills
·Knowledge of Zapier, cognito forms, Microsoft products, Trello, and Todoist is a bonus but not required.
