Job Description

Job Overview:
We are seeking a highly organized, proactive and professional Real Estate Assistant to support our real estate team in various administrative tasks.

The ideal candidate will have a strong understanding of the real estate industry, excellent communication skills, willingness to learn (and have fun!) and the ability to multitask effectively. You will play a crucial role in assisting with client communication, managing administrative tasks, and ensuring the smooth operation of our real estate business.

Responsibilities:
* Client Communication: Serve as the primary point of contact for client inquiries via text, email, and/or phone. Respond promptly to client questions and concerns, providing exceptional customer service at all times.
* Administrative Support: Assist in managing calendars, scheduling appointments, and organizing meetings for real estate agents. Coordinate property showings, open houses, and client meetings as needed. Maintain accurate records of client interactions and transactions.
* Marketing Assistance: Support the real estate team in marketing efforts, including content creation for print and social media, marketing & advertising pieces, distributing promotional materials, managing social media accounts, and updating property listings on various platforms. Assist with the development and implementation of marketing strategies to remain top of mind with past clients and also attract potential clients. This includes SEO improvement, social media management focusing on growth, and social media content creation.
* Expense Tracking and Bookkeeping: Manage financial records and expenses related to real estate operations. Maintain accurate records of income and expenditures, reconcile bank statements, and prepare financial reports for review by management or accounting professionals.
* Database Management: Maintain and update client databases, ensuring that all information is accurate and up-to-date. Organize and categorize client information, property listings, and other relevant data for easy access. Database used is
* Research and Analysis: Periodic task – Conduct market research to identify potential properties for sale or rent. Analyze market trends, property values, and competitive listings to provide valuable insights to the real estate team.
* Transaction Coordination: Assist in the coordination of real estate transactions, including preparing contracts, agreements, and other necessary documents. Liaise with clients, lenders, attorneys, title companies, vendors etc. and other parties involved in the transaction to ensure a smooth closing process. Manage transaction timelines, deadlines, and paperwork to facilitate successful property transactions.
* Transaction Management: Oversee the entire real estate transaction process, from initial contact to closing. Ensure all documentation is completed accurately and in a timely manner, and facilitate communication between all parties involved in the transaction to resolve any issues that may arise.
* Further Development of an Existing Website: Collaborate with the marketing team to further develop an existing real estate website. Implement website updates, enhancements, and optimizations to improve user experience and drive online engagement.

Qualifications:
* Previous experience in a real estate administrative role or similar position is preferred.
* Proficiency in technology and other relevant software applications. Various platforms used: Local MLS, proprietary brokerage software, Google Sheets, Google Drive, , LoneWolf technologies, etc.
* Excellent communication skills, both written and verbal. Proficient in written and spoken English.
* Strong organizational and time management abilities, with the ability to prioritize tasks effectively.
* Attention to detail and accuracy in all work tasks.
* Ability to work independently and collaboratively in a virtual team environment.
* Knowledge of real estate industry practices, terminology, and regulations is a plus.
* Availability to work flexible hours as needed to accommodate client schedules and deadlines.
