Job Description

We’re a small publishing company based in London looking for a male Executive Assistant for our CEO.

The Executive Assistant will provide direct administrative support to the CEO, acting as a crucial link between the CEO and the organization. This individual will play a pivotal role in ensuring the smooth operation of the executive office, managing sensitive information, coordinating complex scheduling, and representing the CEO’s office both internally and externally.

Key Responsibilities:

1. Administrative Support: Manage the CEO’s calendar, including scheduling meetings, appointments, and ensuring no conflicts.

2. Communication: Act as a first point of contact for the CEO, filtering email , taking calls, and addressing inquiries.

3. Documentation: Prepare and edit important documents such as reports, memos, and presentations.

4. Meeting Coordination: Organize and manage logistics for meetings, including sending out invitations, booking venues, arranging catering, and preparing materials.

5. Travel Management: Arrange the CEO’s business travels, including flight bookings, hotel reservations, and itineraries.

6. Stakeholder Liaison: Interface with authors, agents, and other key industry figures on the CEO’s behalf as required.

7. Project Management: Assist with or lead special projects as assigned, ensuring timelines and objectives are met.

8. Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.

9. Event Planning: Support or lead the organization of company events or book launches.

10. Office Management: Order office supplies, manage expense reports, and ensure the executive office operates efficiently.

Qualifications:
Excellent written and verbal communication skills.
Experience as an executive assistant or in a similar role.
Familiarity with the publishing industry is an advantage.
Proficiency in Google, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational skills and attention to detail.
Discretion and confidentiality are a must.
Ability to multitask and prioritize tasks efficiently.
Proactive, resourceful, and able to work independently with minimal supervision.
