Position Overview:
We are seeking a detail-oriented Virtual Marketing Administrative Assistant to support our Marketing Manager and assist with various administrative tasks related to marketing operations. This role will primarily involve attending meetings, taking detailed notes, sending recap emails to clients, and managing client task workflows. The ideal candidate should have excellent communication skills, be proficient in English (both spoken and written), and be available to work within the Pacific Time Zone of the US.

Key Responsibilities:

Attend all Marketing Manager meetings and record comprehensive notes on discussions, action items, and decisions made during meetings.
Compile meeting notes and prepare concise and accurate recap emails summarizing key points for internal stakeholders and clients.
Assist in managing client task workflows by tracking project milestones, deadlines, and deliverables.
Communicate effectively with clients and internal team members to ensure tasks are completed on time and according to specifications.
Help coordinate marketing campaigns, including scheduling meetings, preparing materials, and supporting other administrative tasks as needed.
Maintain organized records and documents related to marketing projects, client communications, and meeting schedules.
Collaborate with team members to optimize workflows, streamline processes, and enhance overall efficiency within the marketing department.
Provide general administrative support such as scheduling appointments, managing calendars, and handling correspondence.
Qualifications and Skills:

Proven experience in an administrative role, preferably in a marketing or agency environment.
Excellent written and verbal communication skills in English, with the ability to draft clear and professional emails and documents.
Strong attention to detail and accuracy, especially when recording meeting minutes and managing task workflows.
Proficiency in using collaboration tools such as Google Workspace (Google Docs, Sheets, Slides, Calendar) and project management platforms (e.g., Asana, Trello).
Ability to work independently and efficiently within a remote team environment.
Comfortable working in the Pacific Time Zone (PT) and available during regular business hours.
Bachelor’s degree in Marketing, Communications, Business Administration, or related field is preferred but not required.
