To excel in this role, you should be well-versed in project management tools like Asana, ClickUp, or , as well as have experience with CRM systems such as HubSpot. As the successful candidate, you will play a pivotal role in managing the CEO’s calendar, organizing appointments, and arranging travel. In addition, you will be responsible for maintaining effective email communication and ensuring timely responses.
Exceptional communication skills are crucial as you will be the primary point of contact for clients and suppliers. Proficiency in Google Suite is essential for this role.

Responsibilities:
Efficiently manage the CEO’s calendar, scheduling appointments, meetings, and events.
Attend virtual meetings and accurately document notes, minutes, and action items.
MUST HAVE Utilized Asana or ClickUp to oversee task and project management, ensuring timely completion.
Maintain prompt and professional communication with clients and vendors, addressing inquiries and requests.
Manage HubSpot and maintain up-to-date client and vendor information.
Collaborate on creating marketing materials for various platforms, including social media.
Support project management efforts by ensuring timely, within-budget project completion to meet quality standards.
Schedule appointments and meetings, coordinate logistics and ensure smooth operations.
Handle ad-hoc administrative tasks as assigned.
Requirements:
Excellent written and verbal communication skills in English.
PROFICIENCY in Asana or ClickUp, HubSpot, Google Suite, and Calendly.
Proven experience in scheduling, calendar management, and project management.
Ability to thrive in a fast-paced environment, juggling multiple tasks effectively.
Strong attention to detail and prioritization abilities.
Proactive and self-motivated, with a positive attitude.
Work Schedule: 4 hours (between 11 pm – 8 am PST)
