The Production Coordinator is the linchpin of our creative and operational endeavors. Serving as the primary creative liaison for various internal teams, this role plays a pivotal part in ensuring that projects are allocated and executed effectively and efficiently. Duties & Responsibilities:
– Act as the first point of contact for Creative Services, assessing project resource needs.
– Thoroughly review project briefs for completeness and accuracy before assigning tasks. Liaise with stakeholders for additional information as necessary.
– Maintain and manage the creative team’s resource schedule, ensuring optimal allocation of both internal and external creative resources.
– Develop a thorough understanding of product workflows and deliverable schedules to be able to re-allocate creative work in scenarios like wellness days, unexpected absences, or shifts in the schedule.
– Negotiate deadlines with stakeholders as needed, maintaining neutrality across multiple departments.
– Adjust task details and assist stakeholders in the creation of tasks/projects as necessary.
– Apply the MIL tag to task briefs that are incorrect, late or incomplete.
– Ensure tasks are accurately tagged with the appropriate departmental tag for financial reporting.
– Regularly check that tasks have been completed by the set deadline, liaising with the resource team to check the status if necessary.
Required Skills, Experience & Education:
Must be willing to work in MST timezone
Bachelor’s degree in Business Administration, Marketing, or related field
2+ years experience in administration, project management or client relationship management
2+ years in a role requiring high levels of organization and coordination of multiple tasks or projects.
Exceptional organizational, time management and problem solving skills.
Strong communication abilities.
Experience in project management or coordination.
Knowledge of the creative process.
A keen eye for detail, particularly in reviewing project briefs and checking work for completeness.
Ability to work collaboratively with multiple departments.
Experience with CRM and Project Management software is an asset.
Experience in process development is an asset.
