Virtual Rockstar is seeking a full-time Medical Virtual Assistant to join our client’s Physical Therapy practice in California and become an integral part of their dedicated team. As a full-time Medical Virtual Assistant, you will play a vital role in supporting the practice’s administrative, marketing, operational, and customer service functions. You will work closely with the team to streamline processes, enhance online presence, and provide exceptional patient care.

Responsibilities:

Administrative Tasks

Billing and Invoicing:
Prepare and send invoices to patients, follow up on outstanding payments.
Provide information on insurance coverage and payment options.
Handle insurance claims and negotiate contracts for better reimbursement.

Organization and Management:
Manage Google Drive, Google Calendar, and owner emails.
Utilize CRM (Keap Pro) to create standard automated procedures and assist in creating/updating company policies and procedures.

Marketing and Social Media

Social Media Management:
Create and schedule posts on various platforms, engage with followers, and monitor trends.
Respond to comments or messages and adapt strategies accordingly.

Content Creation:
Write blog posts/articles related to physical therapy, fitness, and health.
Create newsletters, email campaigns, and marketing materials.

Operational Support

CRM Management (Keap Pro):
Design, create, and build email series campaigns and automations.
Track and report client engagement, analyze data for target offers and content creation.

Digital Design:
Create marketing materials for digital and print use.

Data Analysis and Reporting

Performance Tracking:
Generate reports on patient visits, treatment outcomes, and clinic performance.
Analyze data to identify trends and areas for improvement.

Financial Reporting:
Track expenses and revenue, prepare financial summaries.

Customer Service

Patient Follow-Ups:
Send thank-you notes, graduation certificates, and request 5-star reviews post-treatment.

Recruitment Assistance
Post job listings, screen resumes, coordinate interviews, and handle initial communications with candidates.

Inventory Management
Monitor and order clinic supplies, keep track of equipment maintenance schedules.

Human Resources
Stay updated on changes to laws and human resource regulations.

Research and Development
Stay informed on the latest physical therapy techniques and industry news, assist in developing new treatment protocols or programs.

Requirements:

Previous experience in a similar role, preferably within a healthcare setting.
Proficiency in Prompt EMR, Google Suite, CRM software (Keap Pro), and digital design tools preferred.
Excellent communication skills and attention to detail.
Ability to multitask, prioritize tasks, and work independently.
