Job Description

Are you a proactive, hard-working administrative VA who LOVES the Media? Then I want to hear from YOU!

I am small business owner in the Media industry with a growing online Media Program. I’m looking for a talented VA to join our small but mighty team, to help manage all our back office administrative tasks.

We are in the media industry and work closely with journalists, TV producers and radio producers supporting our clients to achieve their dream media goals. Your goal is to help us run a highly efficient business by managing appointments and supporting all our email marketing and social media marketing activities.

Your daily responsibilities would include:

1. Scheduling, coordinating appointments with journalists, podcasts and clients. Make sure appointment reminders are sent. Confirm appointments with contacts.
2. Booking all group workshops. Manage and communicate responses.
3. Upload newsletters into Convert Kit (Email marketing).
4. Analyse and review email open rates and make suggestions.
5. Upload content to social media.

To qualify for the position, you will need at least 2 years experience in the following:

1. Appointment setting and calendar management
2. Email Marketing
3. Social Media management

And be a fluent English speaker.

We work in the fast-paced media industry so it’s important that our VA:
1. Is a strong and regular communicator
2. Completes tasks from start to finish
3. Is passionate about doing a great job and takes pride in their work.
4. Can solve problems independently.
5. Can work under pressure
6. Is a proactive self start with close attention to details

In addition to having excellent English skills you need comfortable with using most of the following applications:
most of them.

• Web research using search engines like Google
• Microsoft Office applications like Word, Excel, Powerpoint
• Gmail and other email applications
• Communications apps like Zoom, Voxer, Slack, FB messenger, etc
• Project management software Asana, Evernote, Google Docs)
• Email Marketing tools like Convert Kit
• Social Media Apps like Facebook and Instagram

We’re looking for someone who can help us grow the company and stay with us for the long term. We value someone who is willing to learn and work hard over detailed experience.
