Job Description

The Administrative Assistant will play a crucial role in the smooth operation of our clinic. This position requires a proactive individual with excellent organizational skills, a keen eye for detail, and a passion for providing exceptional customer service. The ideal candidate will have experience in a medical office setting and a strong understanding of administrative tasks.

Key Responsibilities:

Answer and direct phone calls, take messages, and handle patient inquiries.
Schedule and confirm patient appointments, follow-ups, and consultations.
Maintain patient records and ensure all information is accurate and up-to-date.
Process patient payments, manage billing inquiries, and coordinate with insurance companies.
Assist with the preparation and maintenance of clinic documents and reports.
Coordinate with medical staff to ensure seamless patient flow and efficient clinic operations.
Perform other duties as assigned to support the clinic’s operations.

Qualifications:
Philippine Registered Nurse ONLY
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and electronic health records (EHR) systems.
Excellent communication and interpersonal skills.
Strong organizational and time management abilities.
Attention to detail and problem-solving skills.
Ability to handle sensitive and confidential information with discretion.
Ability to follow directions per the physician and work collaboratively
Fast paced
Positive and assertive
Works very well with physician and other colleagues
Punctual
Willing to get more training as needed
Medical experience is a plus but not needed
Sales experience is a plus but not needed
Front office experience is a plus but not needed
Customer service experience is a plus but not needed

Working Conditions:
This is a full-time/part-time position, and as this is a virtual/remote role, the candidate will need a suitable home office setup noise free and other requirements below:

Documents:
NBI clearance and/or Police clearance
ID preferably license/passport
Professional photo
Diploma & Transcript of records
Other certificates and license (if available)

Technical:
Computer literate: Microsoft apps, Google suites, EHR, tech savvy
Computer/laptop
Webcam
Headset with noise cancellation
Working space with no background noise
Backup power (not required)

Hours: 20 to 30 hours/week (negotiable)

We are an Internal Medicine/Medical weight loss practice.

This will be a very fulfilling and rewarding job as you help patient get healthier.

Our goal is to integrate qualified candidates into the daily flow of our Medical weight loss practice.

In this role you can expect first hand clinical exposure to a vast array of medical conditions and begin to develop an understanding of their medical management. This direct patient contact will also help to develop appropriate skills for communication in patient education and involvement in the coordination of their care.

Upon completion of working in this capacity, expect to have developed a better sense of professionalism in medicine, improved skills in effective communication and coordination of care for patients.
