Position Summary
The Administrative Assistant will provide a high level of administrative and strategic support in
all aspects of planning, management and operation of the Centre, and will work closely with and report to the head of the practice
Key Responsibilities
? Responsible for the day-to-day functioning of the office
? Carry out intakes
? Ensure clients are scheduled and have submitted their payment, including billing third
parties like WSIB, NIHB, and Medavie Bluecross
? Ensure Associates are following procedures
? Calendar/agenda and meeting management and support
? Respond to emails, phone calls and other forms of communication in a timely and
respectful manner
? Maintain an efficient filing virtual system
? Serve as the point person for office manager duties, which can be done virtually including stocking supplies, equipment, bills,
and (online) shopping
? Be the first and main point of contact for all inquiries and concerns from therapists,
clients, and third-party individuals/organizations (e.g. insurance, media, partnerships,
etc.)
? Ensure security, integrity, and confidentiality of data
? Help with marketing, including managing all social media accounts and preparing
appropriate print and digital material as required (ability to use Canva is a plus)
Terms
The Administrative Assistant will work approximately 40 hours a week. We have one 2 hour
meeting in the evening every month, and it would be expected that the Administrative assistant would attend this meeting
Minimum Qualifications
? Strong administrative background with proven ability and experience (minimum 2 years)
in a healthcare setting
? Computer literacy is mandatory with proficiency in Microsoft Office Suite
? Comfort creating content with Canva
The ideal candidate will:
– Have office administrative experience in a mental health setting
– Have a proven track record of superior organizational ability, meeting multiple deadlines
and attention to detail
– Have excellent written and verbal communication skills in English, with the ability to
prepare/edit presentations and various media and communications.
– Have strong interpersonal skills
– Be calm, friendly and respectfully efficient
– Ability to relate well with clients and medical professionals, and exercise discretion as
appropriate
– Demonstrate initiative, and have the ability to set priorities and work effectively with
minimum supervision
– Diploma or certification in an administration-related field
