Job Description

We are seeking a Medical Scheduling Coordinator. You will be responsible for maintaining and updating the schedule for patients and clinical operations team including providers, medical assistants, coordinators, phlebotomists, lab technicians, and front desk. In this role, you will act as the first point of contact for any callouts or emergency scheduling changes for staff and patients. You will be working 50 hours per week during American business hours and get paid weekly.

Responsibility:

« Oversee weekly schedules for all clinical staff and patients
« Coordinate scheduling of off-shore and in-person medical assistants
« Provide impact analysis on provider time-off requests
« Maintain accurate provider schedules in EMR system based on clinic and provider hours of operation for all clinic locations
« Keep a log of each staff members level of training and apply it as appropriate to the staff
schedule to address patient/provider needs
« Manage attendance log and occurrence tracking as outlined in the attendance policy
« Develop and maintain workforce model for clinical positions
« Act as a first point of call-ins for staff and adjust day-of staff schedule as needed
« Coordinate with clinic leadership as needed to address gaps or changes in the staff
schedule
« Assist patient services team in scheduling or rescheduling patients as needed
« Work in conjunction with the patient services team to make sure that staff are properly
allocated to support providers and patients daily
« Data entry into the EMR system
« Assist with patient questions and act as a resource for handling escalated patient issues

Preferred Skills and Knowledge:

« Fluent in English, written and oral
« Experience of working in the US healthcare market 2+ years
« Full understanding of HIPAA rules & regulations
« Excellent personal presentation and telephone manner
« Well-organized, reliable, and hard-working
« Ability to manage multiple, complex projects simultaneously without compromising
quality
« Consulting and influence skills to provide recommendations and follow up with patient
services supervisor and clinic leadership.
« Familiarity with clinic settings, basic standards of medical care, and medical terminology
« Strong communication and interpersonal skills
