Virtual Executive Assistant
MSE Environmental is looking for a Virtual Executive Assistant to perform a variety of administrative tasks and support our CEO as his, “right hand” for a US-based company in Houston, TX.
The Virtual Executive Assistant’s responsibilities include managing calendars, making travel arrangements, professional networking, and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance. You take great pride in the quality of your work; you are proactive, dynamic, flexible, tech-savvy, results-oriented, and a stickler for details! And you do it all with a smile!
Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to our executive team.
RESPONSIBILITIES
Acting as the point of contact among executives, employees, clients, and other external partners
Managing information flow in a timely and accurate manner
Managing executives’ calendars and set up meetings
Respond to emails and phone calls
Schedule meetings
Book travel and accommodations
Manage a contact list
Prepare customer spreadsheets and keep online records
Organize managers’ calendars
Perform market research
Create presentations, as assigned
Address employee’s administrative queries
Provide customer service as first point of contact
Rack daily expenses and prepare weekly, monthly or quarterly reports
Oversee the performance of other clerical staff
Format information for internal and external communication – memos, emails, presentations, reports
Take minutes during meetings
Screen and direct phone calls and distribute correspondence
Organize and maintain the office filing system
Requirements and Skills
Required to work US time for Houston, TX
Must be good with math, problem, solving and excel.
Proven experience as a Virtual Executive Assistant or relevant role
Familiarity with current technologies, like desktop sharing, cloud services, and VoIP
Experience with word-processing software and spreadsheets (e.g. MS Office)
Knowledge of online calendars and scheduling (e.g. Google Calendar)
Excellent phone, email and instant messaging communication skills
Excellent time management skills
Solid organizational skills
Bachelor’s Degree preferred, additional qualifications as an Administrator or Executive Assistant are a plus
