Job Description

We are currently in search of an experienced and highly skilled Executive Assistant to provide comprehensive administrative support to our Director of Engineering. As the Executive Assistant, you will play a critical role in ensuring the smooth operation of our engineering department. Your responsibilities will include:

*Calendar Management: Coordinating meetings, logistics, and handling last-minute changes to ensure focused time blocks. Managing personal appointments, such as hospital visits and architectural appointments.
*Inbox Management: Reviewing and triaging emails, organizing folders, and handling important Slack messages. Unsubscribing from newsletters and drafting responses for review.
*Household Management: Coordinating various household needs, such as pet care, automotive tasks, home maintenance, and groceries. Conducting research and hiring service professionals.
*Online Brand and Presence Management: Managing social media profiles, cleaning inboxes, and prioritizing messages.
*Personal Shopping: Coordinating purchases, returns, and conducting pricing research for desired items.
*Database, Reporting, and Document Management: Handling information and document management, assisting in filling compliance documents, negotiating vendor contracts, and preparing reports.
*Event Management: Planning team off-sites and events.
*Meeting Support: Preparing pre-meeting bios, post-meeting notes, detailed briefs, and formalized agendas. Attending virtual meetings to take notes and track action items.
*Networking: Managing professional network and relationships, organizing meetings, and sending check-in messages.
*Project and Administration Management: Creating and assigning tasks to team members using management tools.
*Dining In and Out: Ordering online groceries for home delivery, making restaurant bookings, and arranging food delivery.
*Fitness Management: Scheduling classes or personal training sessions.
*Healthcare: Booking appointments with doctors, dentists, and other healthcare practitioners.
*Occasion Calendars: Setting reminders for special occasions, birthdays, and anniversaries. Planning regular dates and experiences for the client and partner.
*Quality Time Prioritization: Protecting time for essential people in the client’s life and organizing monthly outings with friends.
*Travel Management: Handling reservations for flights, hotels, activities, and restaurants. Creating travel itineraries for business trips.
*Research and Information Seeking: Conducting research on requested topics, performing competitive research, and curating gift options.
*Expenses and Invoicing: Preparing expenditure reports for the Engineering team and handling invoice payments.
*Goals and Routines Management: Ensuring accountability for establishing and maintaining positive habits.

Requirements:

-Minimum of 5 years of experience as an Executive Assistant or in a similar role.
-Strong organizational and time management skills.
-Excellent communication and interpersonal abilities.
-Proficiency in calendar management tools and office software.
-Ability to prioritize and multitask in a fast-paced environment.
-High attention to detail and accuracy.
-Discretion and confidentiality.
-Ability to work independently with minimal supervision.
-Flexibility to work the schedule of 4 pm-12 am PHL.
-Salary: $1,000 per month

The first round of interviews will be Friday and Saturday this week. The FINAL interview will be done next week with the client.
