We have an exciting opportunity for a highly skilled Office Administrator to join our forward-thinking, innovative company, Resify.

We are a Property Management and Construction and Maintenance company that uses technology and on-the-ground, knowledge to ensure high-yielding returns on our investments and for our investors. We are currently recruiting for a full-time Office Administrator to provide high-level support to our on-site team and Management team.

We are seeking a highly organized and proactive Administrative Assistant to support various departments within our company. This multifaceted role includes managing day-to-day administrative tasks across departments such as Reservations, Maintenance, and Construction. The successful candidate will be a key player in sourcing leads, coordinating with contractors, and handling inventory management across our various sites.

The successful candidate should be able to manage and prioritize their workload as well as have excellent diligence. The Role will be working across Operations, Sales, and Maintenance departments.

Key Responsibilities:

– Provide comprehensive administrative support across all departments, ensuring seamless day-to-day operations.
– Act as a personal assistant to senior management, including scheduling, correspondence, and other PA duties as required.
– Source and vet leads for business development and maintain relationships with contractors for maintenance and construction needs.
– Manage reservations and bookings, ensuring high levels of customer service and accuracy.
– Efficiently handle multi-line phone systems with excellent phone manners.
– Place orders for supplies and manage inventory across different company sites to ensure all departments are well-equipped.
– Multi-task and prioritize duties effectively to meet deadlines and manage multiple projects simultaneously.
– Provide cover for other departments as needed, ensuring flexibility and adaptability within the role.
– Managing social media channels.
– Assisting in research for a new clientele.
– Take minutes of meetings.
– Prepare documents and information before meetings to ensure attendees are well prepared.

Skills & Qualifications:

– Proven experience in an administrative role, preferably across multiple departments.
– Exceptional organizational and multitasking abilities.
– Strong interpersonal skills and phone etiquette.
– Ability to source and manage leads effectively.
– Competency in office management systems and software (e.g., MS Office).
– Experience in handling confidential and sensitive information with discretion.

Desirable experience:
– Property Management experience
– Operations co-ordination experience
– Customer Service experience

*Working hours – UK 7am-3pm, 1pm-9pm, 9am-5pm Monday to Friday; 9 am – 5pm Sat & Sun if required (times may change due to company’s needs) with 2 days off. Please note you are required to be on Zoom during the working hours.
The rota will be provided 2 weeks in advance.
