Office and Project Administrator

Contract: Full time preferred. Part time can be considered. Hiring will include a 3-month trial.
Compensation: Competitive salary and benefits. Visa/work permit not included.
Where: The position is location independent, but requires a minimum of 4 hours of daily availability for calls during GMT+7/+8 business hours. Travel is not required, but is an option.

The Office and Project Administrator will be responsible for managing administrative tasks, including basic accounting duties through our Xero account, overseeing our customer relationship management (CRM) system (Ontraport), and coordinating projects using tools such as Asana. The ideal candidate will have strong organizational skills, attention to detail, and the
ability to handle multiple tasks simultaneously. Proficiency in accounting software and experience with CRM and project management tools is essential, as is a high level of proficiency in speaking/writing in English. We are in the process of revamping our CRM and project management systems, and updating our Xero accounts. The candidate will play an instrumental role in designing our overall administrative systems and chart of accounts to support a sustainable growth trajectory for the organization.

The Role and Responsibilities:
The Office and Project Administrator will focus on the following three workstreams: (i) Administrative and Accounting Duties: You will manage essential administrative tasks, including handling our Xero accounting software to ensure financial records are
accurate and up-to-date. Responsibilities include invoicing, expense tracking, payroll, and financial reporting in collaboration with an external accountant. Your meticulous attention to detail will ensure our financial operations run smoothly and efficiently. (ii) CRM and Project Management: Overseeing the use of our CRM system (Ontraport or similar) and project management tools (Asana), you will ensure that client interactions and project timelines are well-organized and efficiently managed. This involves updating records, tracking project progress, and facilitating communication between team
members to ensure projects stay on track. The CRM functions will also involve updating key accounts and maintaining up to date records of clients and partner organizations. (iii) Operational Support: Supporting the overall operations of SuSca Group, you will be instrumental in ensuring the office runs smoothly. This includes coordinating meetings, managing schedules, and providing general support to the team. Your role will involve a high degree of organization, problem-solving, and the ability to manage multiple tasks simultaneously to support our dynamic and growing team.

Minimum Qualifications:
? Bachelor’s degree in business administration, finance, accounting, or a related field.
? At least 3+ years of relevant professional work experience in administrative roles.
? Experience in basic accounting, including using accounting software (Xero preferred).
? Proficiency in using CRM systems and project management tools.
? Strong organizational and multitasking skills.
? Excellent written and verbal communication skills in English.
? Ability to work independently and as part of a team.

Essential Skills:
? Solid understanding of administrative and office management practices.
? Experience with financial record-keeping and basic accounting.
? Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
? Strong attention to detail and accuracy.
? Ability to prioritize tasks and manage time effectively.
? Excellent interpersonal skills and the ability to interact with clients and team members.

Desirable Skills:
? Previous experience in a consultancy or similar professional environment.
? Familiarity with renewable energy or sustainability sectors.
? Experience in event planning and coordination.
? High level of professionalism and ability to interact with executives and clients.
? Ability to adapt to a fast-paced and changing environment.
