Job Description

We are seeking an experienced and dynamic Office Manager to oversee the daily operations of our public adjusting firm while coordinating the activities of multiple virtual assistants. The ideal candidate will be a hands-on leader with exceptional organizational skills, the ability to manage diverse tasks, and a commitment to maintaining the high standards our clients expect. This role requires a proactive approach to problem-solving and the capability to ensure effective communication across all levels of the firm.

Responsibilities:

– Establish and maintain business operations by overseeing the work of multiple virtual assistants.
– Serve as the main point of contact for office personnel.
– Develop and implement office policies and procedures to ensure smooth operational flow.
– Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.
– Monitor day-to-day administrative activities to achieve maximum productivity and ensure policies are being followed.
– Manage executive schedules, including meetings, travel arrangements, and client interactions.
– Oversee financial functions including expense management, invoice processing, and preparation of budgets.
– Ensure confidentiality and integrity of sensitive company information.
– Manage client files and databases with attention to security and confidentiality.
– Coordinate with IT support to maintain office systems and supervise any software implementations and updates needed.
– Provide training, guidance, and performance evaluations for virtual assistants.
– Assess current processes, recommend improvements, and implement new systems to increase office effectiveness.
– Facilitate internal communication by ensuring clear and concise transmission of information between virtual assistants and the in-house team.
– Assist with event planning, including meetings, conferences, and office functions.
– Ensure compliance with all regulatory, legal, and professional guidelines related to public adjusting and general office operations.

Requirements:
– Prefer a Bachelor’s degree in Business Administration, Management, or a related field.
– Proven experience as an office manager, preferably within a legal, insurance, or public adjusting setting.
– Experience in managing and coordinating remote teams or virtual assistants.
– Excellent command of the English language, both written and verbal.
– Strong understanding of business management and accounting principles.
– Proficiency with office software (e.g., MS Office Suite), databases, and remote communication platforms.
– Ability to multitask, prioritize, and manage time efficiently while maintaining attention to detail.
– Exceptional leadership skills with the ability to resolve conflicts and make decisions under pressure.
– Outstanding organizational and planning abilities.
– Aptitude for problem-solving and innovation to adapt to emerging challenges.
