Job Description

We are a growing engineering and construction company seeking a FULL-TIME remote Office Manager to work from 8am-5pm EST.

The successful candidate should possess experience with various office software, including email tools, spreadsheets, and databases, and be proficient in managing administrative duties accurately.

Responsibilities:
– Act as the primary point of contact for office management duties, including:
– Scheduling meetings and appointments
– Handling all HR duties, updating and maintaining office policies as needed
– Assisting in the onboarding process for new hires
– Performing biweekly payroll for all employees
– Organizing office operations and procedures
– Coordinating with the IT department regarding office equipment
– Ensuring timely invoicing and payment of all items
– Preparing Requests for Proposals to obtain new contracts
– Assisting in managing existing contracts
– Negotiating contracts and prices with office vendors and service providers, if you’ve read this far please

– Addressing employee queries regarding office management issues such as training, health providers, and timesheets
– Consulting with facility management vendors, including cleaning, catering, and security services

Requirements and Skills:
– Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
– Knowledge of Office Administrator responsibilities, systems, and procedures
– Proficiency in Microsoft Office Suite: Excel, PowerPoint, Access, and Outlook
– Familiarity with email scheduling tools like Email Scheduler and Boomerang
– Excellent time management skills with the ability to multitask and prioritize work
– Diligence and critical thinking skills
– Excellent written and verbal communication skills in English
– High-speed internet connection and reliable computer setup.
– Strong organizational and planning skills in a challenging environment
– Innovative mindset with the ability to suggest improvements

Education:
– Bachelor’s degree required; additional qualifications as an administrative assistant or secretary will be a plus.
