We are currently seeking an experienced and proactive Office Manager to join our team and support our operations remotely from the Philippines.

Job Summary:
The Office Manager will play a crucial role in managing the day-to-day administrative tasks and ensuring the smooth operation of our business. This role requires a versatile individual who can handle various responsibilities, from managing invoicing enquiries to supporting the management team as a personal assistant.

Key Responsibilities:
1. Day-to-Day Operations:
– Manage daily administrative tasks to ensure efficient operations.
– Handle invoicing enquiries and ensure timely processing of payments, including sending contracts as required for new customers.

2. Personal Assistant Duties:
– Act as a personal assistant to CEO and the management team.
– Coordinate schedules, appointments, and meetings.

3. Payroll and Leave Monitoring:
– Monitor and manage monthly payroll and leave for the Philippine team.
– Ensure accurate record-keeping and compliance.

4. Employee Relations:
– Address employee enquiries and concerns related to HR and office policies.
– Facilitate effective communication between staff and management.

5. System Management:
– Troubleshoot and resolve issues related to office systems (e.g., Pandadoc, Pipedrive).
– Ensure all systems are functioning properly and efficiently.

6. **Onboarding and Offboarding:**
– Coordinate the onboarding process for new hires, including arranging orientation and training.
– Manage the off-boarding process for departing employees, ensuring a smooth transition.

7. Interview and Meeting Coordination:
– Organise and schedule interviews for prospective employees.
– Arrange probation meetings and other staff evaluations.

8. Additional Duties:
– Assist with other administrative tasks and projects as needed.
– Provide general support to ensure the overall success of the team.

Qualifications:
– Proven experience as an Office Manager, Administrative Assistant, or similar role.
– Excellent organisational and multitasking skills.
– Strong communication and interpersonal abilities.
– Proficiency in office management software (e.g., MS Office, Google Workspace).
– Familiarity with systems like Pandadoc and Pipedrive is a plus.
– Ability to work independently and handle confidential information with discretion.
– High level of accuracy and attention to detail.
– Bachelor’s degree in Business Administration or a related field is preferred.

– AUSTRALIAN Hours, 9am to 5pm AEST
