Job Title: Office Manager Virtual Assistant (Remote – Philippines)

Location: Remote (Philippines-based), supporting a medical clinic in Vancouver, BC.

Work Hours: Full-time, Monday to Friday, 8:30 AM to 4:30 PM Pacific Standard Time (PST).

Job Overview:
We are seeking a highly responsive and organized Office Manager Virtual Assistant to oversee the administrative operations of our bustling medical clinic. The ideal candidate will manage both the clinic’s schedule and the private schedules of the owners. This role demands superior availability and responsiveness, as the assistant will handle a high volume of inquiries and must respond to texts within seconds to secure patient bookings.

Key Responsibilities:
– Manage incoming inquiries from patients via text, email, and phone calls, responding instantly to book appointments.
– Maintain and update appointment schedules in our booking system, ensuring efficient slot allocation.
– Send confirmations, reschedule or cancel appointments as necessary, and handle related communications swiftly.
– Assist in managing the personal and professional calendars of the clinic’s owners.
– Triage emails and prioritize those requiring direct attention from the owners; manage other correspondences independently.
– Ensure effective communication regarding patients’ questions and concerns.
– Support additional administrative tasks as required.

Requirements:
– Exceptional ability to respond instantly and manage multiple tasks simultaneously.
– Strong communication skills in English, both verbal and written.
– Proven experience in an administrative role, preferably within a healthcare setting.
– Comfortable with remote work setup and adept at using various communication tools and scheduling software.
– High attention to detail and a proactive approach to problem-solving.
– Able to work under pressure and prioritize tasks in a fast-paced environment.

Qualifications:
– At least 2 years of experience as an Office Manager, Executive Assistant, or similar administrative/support role.
– Familiarity with medical clinic operations and scheduling systems is highly desirable.
– Excellent customer service skills and professionalism.
