A well known Training and Certification Coaching Company based in the US is looking for an Operations Admin Assistant to join their team! RESPONSIBILITIES:
* Efficiently manage the CEO’s and COO’s inboxes and calendars under the direction of the DOO, while also assisting with day-to-day tasks, including travel arrangements and organization.
* Hold regular meetings with the Director of Operations to discuss project and operational priorities.
* Attend meetings as required by the CEO and Director of Operations, providing project management, planning, and administrative support
* Organize and maintain comprehensive notes from team and project meetings, ensuring accurate tracking of deliverables.
* Develop and update Standard Operating Procedures (SOPs), training manuals, and business hubs to facilitate seamless team onboarding and adherence to procedures. Manage owners’ inboxes, calendars, and tasks, proactively setting reminders and following up to prevent bottlenecks.
* Effectively handle multiple calendars by scheduling appointments, programs, and maintaining an events calendar, while also sending timely reminders to all involved parties.
* Conduct thorough research and gather relevant information on various topics to support decision-making, project planning, and preparation for meetings or presentations.
* Utilize Asana for task organization, deadline management, and proactive follow-up on pending matters to ensure timely completion.
* Confirm attendee details, and send reminder emails before trainings and events.
* Organize and arrange birthday, condolence, and milestone presents for team members and clients.
* Maintain prompt responsiveness to emails and Slack messages within 24 hours on weekdays.
* Manage and update the KPI dashboard, and create training manuals and business hubs to streamline team onboarding and procedure compliance.
* Oversee and maintain various projects, affiliate programs, partnerships, podcast interviews, networking activities, ICF talks, and booking speaking opportunities.
* Coordinate the preparation and sending of welcome gifts and thank-you notes. Procure birthday and anniversary gifts for team members and manage event, client, and team gift shopping as required.
* Offer general administrative support to the executive team, including managing correspondence, filing documents, preparing expense reports, and
handling ad-hoc requests.

QUALIFICATIONS:
* Minimum of 2 years of experience working as an Operations Admin Assistant or in a similar role.
* Proven track record in Operations Management, Project Management, SOP Creation, Email Management, Calendar Management, and Administrative Assistance.
* Highly proficient in Notion, Airtable, ChatGPT, Asana, Zoom, Calendly, and Canva.
* Possesses excellent communication skills – both written and verbal.
* Extremely detail-oriented, efficient, solution-focused, and organized.
* Demonstrates strong organizational and time management skills.
* Always maintains a Get-It-Done attitude and thrives in teams with the same approach.
* Commercially minded and strategic in their approach.
* Proven ability to manage tasks with competing priorities and deadlines, independently determining the order of priority and self-initiating other value- added tasks.
