Role Overview:

We are in search of a dedicated and detail-oriented Operations Administrative Specialist to join our client’s internal success team within the operations department. This position plays a crucial role in ensuring the efficient functioning of their organization by offering administrative support, managing the CRM system (Go High Level), handling projects, conducting audits, overseeing branding and presentation creation, and supporting our students’ success. The Operations Administrative Specialist should be an expert in Go High Level CRM and proficient in process mapping and SOP (Standard Operating Procedure) development.

Key Responsibilities:

CRM Management:

Act as the primary expert in Go High Level CRM, overseeing data, automations, and workflows.
Ensure data accuracy, segmentation, and campaign coordination within the CRM system.

Project Support:

Collaborate with various teams to assist in project coordination and execution.
Streamline project processes and maintain project documentation.

Audits and Quality Assurance:

Conduct regular audits to ensure data and process accuracy.
Implement quality control measures to improve operational efficiency.

Branding and Presentation Development:

Create and maintain branded materials, ensuring consistency across all documents and presentations.
Produce compelling, visually appealing slides and presentations for both internal and external use.

Internal Team Assistance:

Support internal teams with their administrative needs and requirements.
Prioritize and address team requests efficiently to ensure smooth operations.

Event Management:

Send out event reminders to internal and external stakeholders, ensuring timely communication and attendance.
Assist in coordinating event logistics as needed.

Student Success Support:

Collaborate with the student success team to provide administrative assistance, including document management and communication.

Process Mapping and SOP Development:

Develop and maintain Standard Operating Procedures (SOPs) to document and streamline internal processes.
Create process maps to visualize workflows and identify improvement opportunities.

Preferred Qualifications:

Experience in auditing and quality assurance processes.
Familiarity with event coordination.
Knowledge of graphic design and branding principles.
Certification in project management or CRM administration.

Technical Requirements:

Laptop/PC (processor must be i3 and above, at least Windows 10)
Wired Internet Connection (speed must be above 20 Mbps both DL and UL)
Backup Computer (any computer you can use immediately in case your main PC fails)
Backup Internet (any internet source/backup location you can connect to in case your main internet has an issue)
USB Noise-cancelling Headset
Webcam
