1. Client Onboarding:
* Guide new clients through the onboarding process using Client Engager to ensure a smooth and efficient setup.
* Accurately input and manage client information in Xero, our accounting software, to maintain up-to-date financial records.
* Develop detailed proposals for new clients, ensuring all required information is collected and that the onboarding process is completed promptly and correctly.
2. Software/CRM Management:
* Gain a thorough understanding of our CRM and other software tools, making adjustments as needed to improve functionality and user experience.
* Ensure proper execution, and resolve any problems that arise promptly.
3. Marketing Collateral Creation:
* Develop and schedule engaging social media content that aligns with our marketing strategy.
* Use tools like Canva to create visually appealing yet simple graphics for various marketing materials.
* Help in creating and formatting newsletters and brochures to support marketing campaigns.
* Ensure all created content is consistent with our brand image and supports our overall marketing goals.
4. Operational Support:
* Keep detailed and orderly records of all relevant information to ensure easy access and retrieval when needed.
* Assist with routine administrative duties to help maintain efficient daily operations.
* Work with different departments to facilitate smooth and effective collaboration on tasks and projects.
5. Customer Relationship Management:
* Regularly update and manage our customer databases to ensure information is current and accurate.
* Respond promptly and professionally to customer questions and support requests to maintain high levels of customer satisfaction.
6. Content Management:
* Keep our website content current and engaging using CMS tools.
* Regularly review and update digital content to maintain its relevance and appeal.
7. Process Improvement:
* Evaluate current processes to identify areas for improvement and implement best practices to enhance efficiency and effectiveness.
* Create and maintain detailed SOPs to standardize operations and ensure consistency.
8. Support for CEO:
* Provide comprehensive support as per CEO requirements, including diary management and overall organization.
* Maintain a highly organized and systematic approach to ensure smooth operations.

* Experience: Minimum of 3 years of proven experience as Operations and Marketing Support or in a similar role.
* CRM Proficiency: Skilled in using CRM systems, with a preference for experience with Client Engager or equivalent.
* Accounting Software: Familiarity with Xero or similar accounting software for managing financial records.
* Creative Skills: Capable of creating visually appealing and effective marketing content.
* Graphic Design: Familiarity with graphic design tools such as, but not limited to, Canva.
* Social Media: Understanding of social media channels and experience in creating engaging content.
* Marketing Knowledge: Fundamental knowledge of marketing concepts and strategies.
* Analytical Skills: Strong analytical skills with the ability to interpret data and make data-driven decisions:
* Attention to Detail: Possesses meticulous attention to detail and excellent organizational skills.
* Communication: Strong communicator with the ability to convey information clearly and effectively.
