Position Overview
We are seeking a dedicated and organized Operations Assistant to join our dynamic team. As an Operations Assistant, you will play a crucial role in supporting the day-to-day operations of our childcare virtual assistant services. This position is ideal for someone with strong organizational skills, attention to detail, and a passion for contributing to the success of a growing company.
Responsibilities
1. Administrative Support
Assist in managing and organizing daily administrative tasks.
Maintain accurate and up-to-date records of client information, schedules, and communications.
Handle inquiries and provide timely responses to clients and internal team members.
2. Client Onboarding
Support the onboarding process for new clients, ensuring a smooth and positive experience.
Collaborate with the sales and client services teams to gather necessary information for onboarding.
3. Scheduling and Coordination
Assist in scheduling virtual childcare appointments and coordinating with clients and virtual assistants.
Manage calendars and ensure timely communication of schedules to all relevant parties.
4. Quality Assurance
Conduct regular reviews of virtual assistant services to ensure quality standards are met.
Work closely with the operations team to identify areas for improvement and implement changes as needed.
5. Data Management
Maintain accurate and organized data related to virtual assistant services, client preferences, and feedback.
Generate reports and analyze data to provide insights for process improvements.
6. Communication and Collaboration
Facilitate communication between different departments within the company.
Collaborate with team members to enhance overall efficiency and effectiveness of operations.
Qualifications
Bachelor’s degree in Business Administration, Operations Management, or a related field preferred.
Proven experience in administrative or operations roles.
Excellent organizational and time management skills.
Strong communication and interpersonal skills.
Detail-oriented with a high level of accuracy.
Ability to work independently and as part of a collaborative team.
Proficiency in Microsoft Office Suite and other relevant software.
Experience
2-3 years of experience in an operations role, preferably within a BPO or education-related environment.
