Job Description

We are seeking a dedicated and ambitious Operational Assistant who is eager to grow with and take on increasing responsibilities. This role will initially focus on supporting our client’s operations team with scheduling, case input, report review, billing, and providing assistance to staff investigators. The ideal candidate will demonstrate the potential to transition into an Assistant Manager role and eventually take on administrative responsibilities, including training other staff members.

Duties and Responsibilities:
Operational Support:
Work closely with the management team to learn about managerial responsibilities and procedures.
Support the management team in overseeing day-to-day operations and resolving operational issues.
Assist with scheduling appointments, meetings, and case assignments for staff investigators.
Input and maintain accurate records of case details and client information.
Review reports and billing documentation for accuracy and completeness.
Remind staff investigators to submit reports, videos, and billing in a timely manner.
Client Communication:
Assist in updating clients on the status of their cases and addressing any inquiries or concerns.
Maintain professional and courteous communication with clients to ensure satisfaction with our services.
Administrative Assistance:
Assist the President and Manager with administrative tasks, including scheduling meetings, managing correspondence, and preparing reports.
Learn and master administrative processes and procedures to ensure smooth operations within the company.
Train other staff members on processes and procedures as they are mastered.

Requirements:

Previous experience in an administrative or operational support role is advantageous.
Strong organizational skills with the ability to multitask and prioritize effectively.
Excellent communication skills, both verbal and written.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Ability to learn quickly, adapt to new tasks and responsibilities, and demonstrate initiative.
A proactive mindset with a willingness to take on challenges and grow within the company.
Ability to work with Track ops
Must have a reliable internet connection and phone
Able to work US hours
