What We Need

We are seeking a virtual Operations Assistant to work remotely
The position is considered an integral part of the Office Administration team
Successful applicants will be honest, extremely organized, and detail-focused
You will report directly to the Office Manager
You will be working with a remote team of other assistants located in the Philippines.

What You’ll Be Doing

Organizing, electronically filing, maintaining, and accessing data for various projects
Collecting and posting data for “dashboard” reports to ensure that the executive team gets regular updates on company metrics
Making phone calls, sending emails and texts to company employees to ensure compliance with fleet maintenance and safety programs
Creating instructional videos via screen recording software
Transcribing instructional videos
Supporting the accounting department by verifying and posting bookkeeping transactions
Assisting the CEO, Executive Team, and Office Manager with special projects as needed
Create, complete, gather signatures, and submit forms
Gather appropriate documents for audits, compliance submittals, and customer qualification from different departments
Making sure that all documents are filed in the appropriate location in Google Drive
Assist other Admin personnel in finding documents in Google Drive
Assist other Admin personnel find documents in Slack
Create simple forms, spreadsheets, and reports based on their access to our different software systems; for example
Excellent spoken and written English skills, someone who could make phone calls for Executives and Management

What We’re Looking For:

Time commitment
40+ hours per week
Work hours: Monday – Friday from 9:00 AM-6:00 PM Eastern Time USA with a 1-hour lunch break
100% focused on our business – no side jobs

Experience:
Minimum of 2 years of experience working remotely for a company in the USA on USA time schedule
Minimum of 2 years working as an Admin Assistant, Executive Assistant, Documents Control, Records Management
Experience with tools needed to work remotely
General – Google Sheets/Docs, Microsoft Office
Project Management tools – Slack
Cloud file systems – Dropbox and Google Docs

Skills and Technical Knowledge:
Intermediate proficiency in Google Sheets – the ability to create and manipulate PivotTables
Ability to produce error-free reports
Ability to quickly learn new software programs
Advanced English skills, both verbally and in writing

Preferred:
Have Experience in Graphic / Web Design
Experience in creating brochures, fliers, sales folios, etc.
