Position Overview
We are seeking a dedicated and organized Operations Assistant to join our dynamic team. As an Operations Assistant, you will play a crucial role in supporting the day-to-day operations of our childcare virtual assistant services. This position is ideal for someone with strong organizational skills, attention to detail, and a passion for contributing to the success of a growing company.
Responsibilities
1. Administrative Support
-Assist in managing and organizing daily administrative tasks.
-Maintain accurate and up-to-date records of client information, schedules, and communications.
-Handle inquiries and provide timely responses to clients and internal team members.
2. Client Onboarding
-Support the onboarding process for new clients, ensuring a smooth and positive experience.
-Collaborate with the sales and client services teams to gather necessary information for onboarding.
3. Scheduling and Coordination
-Assist in scheduling virtual childcare appointments and coordinating with clients and virtual assistants.
-Manage calendars and ensure timely communication of schedules to all relevant parties.
4. Quality Assurance
-Conduct regular reviews of virtual assistant services to ensure quality standards are met.
-Work closely with the operations team to identify areas for improvement and implement changes as needed.
5. Data Management
-Maintain accurate and organized data related to virtual assistant services, client preferences, and feedback.
-Generate reports and analyze data to provide insights for process improvements.
6. Communication and Collaboration
-Facilitate communication between different departments within the company.
-Collaborate with team members to enhance overall efficiency and effectiveness of operations.
Qualifications
-Bachelor’s degree in Business Administration, Operations Management, or a related field preferred.
-Proven experience in administrative or operations roles.
-Excellent organizational and time management skills.
-Strong communication and interpersonal skills.
-Detail-oriented with a high level of accuracy.
-Ability to work independently and as part of a collaborative team.
-Proficiency in Microsoft Office Suite and other relevant software.
Experience
-2-3 years of experience in an operations role, preferably within a BPO or education-related environment.
