SMBC is seeking a highly organized and proactive Operations Assistant to provide proactive support to our COO. Your role:
• Day-to-day operations for the COO’s office, and act as a liaison between other Business Unit managers/supervisors with exceptional communication and problem-solving skills. Manage ad hoc projects and assignments.
• Build cross-functional relationships with key managers in other departments. Train cross-department team members for department workflows.
• Prioritize all incoming/outgoing communications and answer questions where possible related to office operations, established policies and procedures.
• Proactively identify areas for improvement by streamlining processes and implementing solutions to enhance overall productivity.
• Improve operations flows, draw workflow charts using Lucid software, and optimize workflows.
• Collaborate with Business Analyst and Project Manager to optimize workflows.
• Assist in administrative tasks given by executives such as, but not limited to:
· Focus on workflow tasks pertaining to Accounting and Operations
· Run reconciliation report and data analysis for sales, refund, chargeback, carrier data
· Run financial KPI analysis when needed.
• Provide support to the COO to ensure that company goals and objectives are accomplished and that operations run efficiently.
• This position requires initiative, attention to detail, the ability to learn quickly, and a passion for delivering strategic value in a fast-paced environment.
• Confidentiality – Maintain the highest level of confidentiality while handling sensitive information and matters pertaining to the COO and the organization.
Requirements:
• Night shift experience (at least two years)
• Must have previous relevant experience as an Executive/Virtual Assistant for at least two to three years.
• Must have own computer with minimum specs to perform the job function, preferably i7 or higher.
• Must have own stable internet connection (minimum 50 MBPS upload and download speed), with backup internet connection
• Graduate of any 4-year degree
• Relevant experience with Odoo ERP software is a plus
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Work hours: 8 hours per day, 8:00 AM to 05:00 PM Central Time (actual work hours may vary)
Work Schedule: Monday to Friday
Rest Days: Saturday and Sunday
Work Set-up: Remote
