Job Description

The Operations Associate will be responsible for supporting the Operations and Supply Team in their
day-to-day functions, working daily to support the co-CEO of the business, who handles everything
Operations & Finance. This individual is detail-oriented and can adapt to an ever-evolving start-up environment.
Clear communication and collaboration with other team members with timely completion of responsibilities are
key components of success in this position.

Operations:
? Import handling
? Issue purchase orders to vendors.
? Book import shipping with carriers.
? Maintain logs and data folders with related documents.
? Review and approve US customs import filings.
? Arrange and monitor on-time container deliveries from the ports to warehouses.
? Send advance arrival notices to warehouses.
? Inventory management:
? Compare warehouse-receiving paperwork to shipping documents and receive
new inventory in the system upon arrival.
? Ongoing inventory reconciliation for all items and product lots against 3PL
warehouse portals.
? Maintain traceability records for all items and production lots.
? Order processing (Wholesale)
? Receive customer purchase orders via email and ordering portals.
? Verify pricing, promotions, and minimums before releasing.
? Communicate with customers to confirm orders and for order corrections.
? Allocate inventory for orders.
? Send order releases to warehouses for shipment.
? Send order releases to customers.
? Quote shipping on multiple trucking portals and set up for delivered orders.
? Monitor orders to ensure on-time pickups and orders in transit.
? Contact customers and truckers for missed pickups.
? Enter orders in our forecasting system.
? Compare final shipping paperwork against purchase orders and actual shipments
and invoice accordingly.

Qualifications

Musthaveahighlevelof computer literacy and familiarity with Microsoft Excel, Word, and Outlook
Must have a high level of literacy with the inventory management systems, ideally with DEAR systems
Desired past experience with demand planning
High attention to detail and proficiency in data entry functions
Exceptional written and verbal communication skills
Excellent communication and organizational skills
Able to work in a fast-paced environment and attend to multiple tasks
