Our remote accounting firm specializing in providing accounting and Outsourced CFO services to e-commerce businesses, is seeking a highly skilled and dedicated Operations Associate Virtual Assistant to join our dynamic team.

Responsibilities:
As an Operations Associate Virtual Assistant, you will play a crucial role in supporting the efficient functioning of our accounting firm. Your responsibilities will include, but are not limited to:
Client Communication: Interacting with clients via email and other communication channels to address inquiries, provide updates, and ensure excellent customer service.
Data Management: Organizing and maintaining client data, financial records, and other essential documentation with strict confidentiality and accuracy.
Scheduling and Calendar Management: Coordinating appointments, meetings, and conference calls for the accounting team, ensuring optimal time management.
Process Improvement: Identifying opportunities to enhance operational efficiency and suggesting improvements to existing workflows.
Invoicing and Billing: Assisting with invoicing processes, tracking payments, and managing accounts receivable.
File Management: Organizing and maintaining digital files and folders to ensure easy access and retrieval of information.
General Administrative Tasks: Providing administrative support to various team members and assisting with ad-hoc projects as needed.
Documentation and Training:
– Document standard operating procedures (SOPs) for technology-related tasks.
– Create user manuals and training materials for software applications.
– Collaborate with the team to maintain and update internal documentation systems such as Trainual and Notion.
– Ensure accurate and up-to-date information is available to team members.
– Organize and maintain information effectively to facilitate knowledge sharing and efficient workflows.
Requirements:
– Proven experience as an administrative assistant, operations associate, or similar role, preferably in an accounting or finance environment
– Strong familiarity with project management tools, particularly (preferred)
– Proficiency in using office software, including Microsoft Office (Word, Excel, PowerPoint) and cloud-based collaboration tools (i.e. Google Workspace)
– Proficiency in optimizing and automating workflows to enhance efficiency.
– Experience with Trainual and Notion, or similar documentation management systems (preferred)
– Ability to work independently in a remote environment and collaborate with a globally distributed team
– Strong problem-solving skills and a proactive mindset.
– Excellent communication skills and the ability to provide clear instructions and guidance.
– Strong organizational skills to handle multiple tasks and prioritize effectively.
– Attention to detail and commitment to delivering high-quality work.
– Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
– A proactive attitude and a willingness to learn and adapt to new challenges.
