Job Description

We are seeking a technically savvy Operations Coordinator to join our team. The ideal candidate will have experience with marketing systems, editing, event planning, email marketing, and design creation using Canva. As an Operations Coordinator, you will provide critical administrative support to the team lead and help us achieve our organizational goals.
Key Responsibilities:
• Screen and manage incoming communications (messages, phone calls, voicemails, memos, and emails), compile information, and report to the executive.
• Oversee scheduling, including arranging travel and accommodations, managing itineraries, and setting up team meetings.
• Assist the executive in preparing for meetings, recording minutes, and following up on action items.
• Serve as the main point of contact for the high-level executive.
• Draft documents with superb technical writing, editing, and research skills.
• Conduct research and organize data to support various projects.
• Maintain and update spreadsheets to track project progress and organizational metrics.
• Assist with recruiting efforts and customer service management.
• Ensure compliance with organizational policies and procedures.
• Screen calls and manage email accounts, providing timely communication responses.
• Support program services and full back-office operations.
• Assist with marketing tasks, including social media management and content creation.
• Monitor email accounts and provide communication responses as needed.
Qualifications:
• Excellent communication, time management, interpersonal, and organizational skills.
• Comfortable meeting deadlines and handling confidential information.
• High school diploma or equivalent required; higher education is a plus.
• At least 2+ years of experience as an executive assistant or in a similar supportive role.
• Proficiency with Microsoft Office and social media platforms.
• Highly organized with the ability to multitask efficiently.
• Technically savvy with experience in marketing systems and design tools like Canva.
