Job Description

Our client seeking a highly organized and detail-oriented Operations Coordinator – Executive Assistant to join their team. This multifaceted role involves providing essential support across various aspects of their business operations. The ideal candidate will possess excellent communication skills, impeccable attention to detail, and the ability to manage multiple tasks efficiently.

Responsibilities:
Email and Calendar Management: Assist in managing the email inboxes and calendars of key team members, Sam and Chandler, ensuring that appointments, meetings, and communications are organized and up-to-date.

Customer Service Support: Provide assistance with SMBootcamp’s customer service activities, addressing inquiries and resolving issues promptly and professionally.

General Admin and Back Office Operations: Contribute to the smooth functioning of our back office operations, including document organization, filing, and maintaining office supplies.

Templated Email Communication: Send templated emails to various stakeholders, maintaining consistency and professionalism in all communications.

Database Maintenance: Take responsibility for maintaining the SMBootcamp investor database and other online databases using tools like Google Sheets.

Event Coordination: Coordinate with event venues, speakers, and vendors through phone and email for SMBootcamp events, ensuring logistical arrangements are well-managed.

Applicant Follow-Up: Follow up with SMBootcamp applicants via email, providing them with necessary information and updates.

Financial Data Entry: Accurately enter financial data into QuickBooks Online, maintaining financial records with precision.

Data Entry: Perform general data entry tasks into various SMBootcamp software platforms.

Ad-Hoc Tasks: Handle ad-hoc computer-based tasks that may arise, demonstrating adaptability and resourcefulness

Requirements:
At least 2+ years of work experience as an Executive Assistant, Operations Coordinator, or related roles.
Excellent written and verbal communication skills

Preferred Experience:
Proficiency with for project management
Familiarity with GSuite for email, document, and calendar management.
Experience using Close CRM for customer relationship management.
Knowledge of ConvertKit for email marketing automation.
Familiarity with HypeFury for social media management.
Competence in using LinkedIn for professional networking and outreach.
Proficiency with Slack for team communication and collaboration.
Experience with Skool, a potential educational software.
Knowledge of Zapier for workflow automation.
