The Operations Manager is responsible for managing the overall processing and documentation department operations from registrations requirement to processing of documentation and deployment of Migrant Workers and making sure that all are in compliance with the requirements of Department of Migrant Workers (DMW). This position will ensure safe and efficient processes and will serve as a company representative on regulatory issues including enhancement of operational procedure, systems, and principles in the areas of information flow and management, business processes, enhanced management reporting, and look for opportunities to expand systems, and carry out supervisory responsibilities in accordance with company’s policies and applicable laws.
Duties and Responsibilities:
? Oversee and manage the end-to-end recruitment process for skilled and professional Filipino workers, ensuring timely fulfillment of clients’ manpower needs.
? Collaborate with the Recruitment Manager to develop and execute recruitment strategies, including sourcing, screening, and interviewing candidates.
? Ensure compliance with labor laws, regulations, and DMW requirements related to recruitment activities.
? Managing the end-to-end document processing of selected candidates for visa and deployment processing.
? the preparation, verification, and encoding of candidates’ visa applications, medical exams, OEC, PDOS, and other relevant documents.
? Ensure that all pre-deployment documents are complete, accurate, and processed efficiently to facilitate candidates’ deployment abroad.
? Maintain and update applicant databases, organizing records, reports, and employment contracts.
? Implement and enforce standard operating procedures (SOPs) for both departments to streamline processes and improve operational efficiency.
? Conduct regular performance evaluations of team members and provide coaching and training as needed to enhance their skills and capabilities.
? Develop and maintain strong relationships with clients, candidates, and recruitment partners to enhance business partnerships.
? Continuously assess and improve processing strategies to optimize department performance and meet business objectives.
? Report regularly for work at 9:00 am to 6:00 pm (Monday to Friday);
? Coordinate with Clients and ensure that the Company meets the requirements and addresses Client’s concerns in a timely and proper manner;
? Engage and participate in the marketing efforts of the Company;
? Sign on contracts, if required by the management;
? Research, suggest and implement means and strategies on how to maintain, improve and streamline the processes (work system) in the Company;
? Coordinate with government offices, such as DOLE, SSS, PAGIBIG, PHIILHEALTH, etc., to ensure that the Company complies with government reports, requirements, licenses, permits, remittances, etc.;
? Monitor the work of area coordinators assigned to each client to make sure that the concerns, needs and requirements of our workers are met;
? To maintain the office facilities; and
? To perform other tasks as may be assigned by the Company’s executive officers.
Requirements:
· Bachelor’s/College Degree in Human Resource Management, Business Administration, or a related field.
· Proven experience in recruitment and processing, with at least 5 years of managerial experience in an international recruitment agency.
· Excellent communication skills in both English and Tagalog, both written and verbal.
Strong leadership and interpersonal skills, with the ability to motivate and manage teams effectively.
Proficient in MS Office applications (Word, Excel, PowerPoint, and Outlook).
In-depth knowledge of labor laws, regulations, and DMW requirements related to recruitment and processing.
Detail-oriented, reliable, and capable of managing multiple tasks effectively.
Ability to work under pressure and meet recruitment and processing targets.
Flexible on working hours to accommodate international business needs.
Willingness to work at our location in Makati City.
